This includes at the Microsoft data center, through a partner hosted offering (including additional bundled in goodies), within your office or even within a footprint managed by your Microsoft partner of choice.</p>
<p>If you are thinking of organizing your contacts, documenting and managing a process, building on or out your network of people and yet you are not really sure if you want to put all the infrastructure in place. You might dip your foot in the water with the cloud.</p>
<p>Did you know that despite the cloud, your data still integrates and can synchronize with Microsoft Outlook running in your office? I am not talking about Export and Import - I am talking about realtime sync (or close to real time sync). You don't have to do anything other than to get the intial configuration right. </p></div>

<div xmlns="http://www.w3.org/1999/xhtml"><p>One of the coolest features of Microsoft Dynamics CRM is the slicing and dicing you can do with security roles. It is also one of the more complex features of the software.</p>
<p>Microsoft uses the concept of a Business Unit as a core security feature. I often explain business units as a rock wall divider within any given database, but given that Microsoft allows for a tree factor this is not necessarily a black and white rule. </p>
<p>The reason I emphasis "rock wall" is because once you create a business unit it becomes difficult to share data across business units without a more complex design. For those firms who do not have complex security needs I recommend keeping business units to a minimum. They are easy to abuse and can create some long term pain.  </p></div>

&lt;p&gt;A lead imported into the leads pool is often considered unqualified and perhaps not even real. This could be a person from a purchased marketing list, a casual meeting, an association member or a bogus entry such as &amp;quot;mickey mouse&amp;quot; from a web form. &lt;/p&gt;

&lt;p&gt;The first goal around any given lead is initial qualification. Do they exist, are they worth the potential of engagement?&lt;/p&gt;

&lt;p&gt;Within the software Microsoft offers a &amp;quot;leads pool&amp;quot; where once qualified a lead can be marked qualified and closed and then leave this area of the database and be further expanded into Contact, Account and Opportunity.&lt;/p&gt;

&lt;p&gt;A prospect on the other hand is or can be a type of contact or account. A prospect represents a company that has the real potential to be a new client. They have passed initial qualifications (as in they actually exist) and they are currently engaged or are worth pursuing for engagement. &lt;/p&gt;

&lt;p&gt;Tracking all that happens on a prospect is often done within the Account or Opportunity record. This includes the gathering and documenting of all contacts within this prospect, the projecting and scheduling of activities needed to close this prospect and the historical notes. &lt;/p&gt;&lt;/div&gt;

&lt;p&gt;The key with the Dynamics CRM KBA is that you have a process for filtering good &amp;quot;will be useful for a long time&amp;quot; knowledge from &amp;quot;every bit of detail&amp;quot; that might cross a support person's desk.&lt;/p&gt;

&lt;p&gt;The product wants a human to think about what they are putting into the KBA and the product has a &amp;quot;draft, review and publish&amp;quot;&amp;nbsp; feature for management as well. &lt;/p&gt;

&lt;p&gt;I have found that even at the smallest firms this systematic approach can increase their ability to offer high quality and extremely efficient support. After just a few months, junior resources can look to the KBA as opposed to using up valuable human bandwidth when they are first researching a problem and as&amp;nbsp; any of us who have managed a support department know, 80% of all questions are redundant.&lt;/p&gt;

&lt;p&gt;Teach your team to share what they know will be asked again with a simple process and let the noise go.&amp;nbsp; Then teach your resources to leverage&amp;nbsp; the internal Search tools.&lt;/p&gt;

&lt;p&gt;The Process: &lt;/p&gt;

&lt;p&gt;From Microsoft Dynamics CRM, &lt;/p&gt;

&lt;p&gt;Choose Service, &lt;/p&gt;

&lt;p&gt;Choose Knowledge Base, &lt;/p&gt;

&lt;p&gt;Create a new Item&lt;/p&gt;&lt;blockquote dir="ltr"&gt;&lt;p&gt;1. Create a title&lt;/p&gt;

&lt;p&gt;2. Add some key words &lt;/p&gt;

&lt;p&gt;3. Type the &amp;quot;Question&amp;quot; or &amp;quot;Problem Addressed&amp;quot; &lt;/p&gt;

&lt;p&gt;4. Cut and Paste in the solution (most likely from an e-mail that you already sent to the client) &lt;/p&gt;&lt;/blockquote&gt;&lt;p&gt;Total Time = 5 minutes &lt;/p&gt;

&lt;p&gt;As company goals and standards go - having a core shared sales process can be important, but by using the power of a multi-tiered work flow you can accomodate both needs. &lt;/p&gt;

&lt;p&gt;Create your core sales process with the ability to call sub-workflow (or a sub sales process) based on a set of criteria. &lt;/p&gt;

&lt;p&gt;Using this advanced workflow feature you can get quite sophisticated in how you meet all the unique needs of the sales team while also standarizing for corporate. &lt;/p&gt;

&lt;p&gt;To get started draw out the process using either VISIO or a large White Board or both.&amp;nbsp; Remember to keep the process as simple as possible while also meeting the requirements. The more complex the process, the more risk for problems and frustrations.&lt;/p&gt;

&lt;p&gt;Once you can humanly understand the map and see it laid out, writing workflow to match can be quite logical and logic is required when working with applications and computers. &lt;/p&gt;

&lt;p&gt; The Microsoft Resource Center is part of Dynamics CRM and it includes a Sales&amp;nbsp; Community and Marketing Community and other role based communities.&amp;nbsp; Instead Microsoft showed some new third party additions to Dynamics CRM really showing how third party addin solutions are party of the wide choices available when working with Microsoft CRM.&lt;/p&gt;

&lt;p&gt;Key take away: Reach out and talk with peers when it comes to using Microsoft CRM! &lt;/p&gt;

&lt;div xmlns="http://www.w3.org/1999/xhtml"&gt;&lt;p&gt;One of the areas that often becomes a chore in a CRM system is the managing of&amp;nbsp; data that has become inconsistent or messy. &lt;/p&gt;

&lt;p&gt;Dynamics CRM offers you the ability to do Bulk Edit for a quick cleanse.&amp;nbsp; In this example we will change all state fields set to Texas to TX.&lt;/p&gt;

&lt;p&gt;1. Choose Accounts&lt;/p&gt;

&lt;p&gt;2. Pick a nice View that allows you to sort on the fields you might want to update. In our example&amp;nbsp; sort by the STATE field by clicking on the column header.&lt;/p&gt;

&lt;p&gt;3. Click on the first record to select, CNTL click on the last record to select all accounts where state equals Texas. &lt;/p&gt;

&lt;p&gt;4. Choose Edit&lt;/p&gt;

&lt;p&gt;5. Change the state field to TX&lt;/p&gt;

&lt;p&gt;6. Save and Close&lt;/p&gt;

&lt;p&gt;All better! &lt;/p&gt;

&lt;p&gt;If you have thousands upon thousands of records then you can also use a manual work flow or setup an onchange event. Microsoft gives you lots of choices. &lt;/p&gt;&lt;/div&gt;

&lt;div xmlns="http://www.w3.org/1999/xhtml"&gt;&lt;p&gt;When Microsoft CRM v3.0 was released back in December 2005&amp;nbsp; (yes it was that long ago) the team included a new first time release of Microsoft Outlook Client for CRM and as such technically the Outlook Client for CRM was version 1.0 and true to form the release of a 1.0 version can have it's issues. &lt;em&gt;(I can debate that this should not be the case, but it is what it is)&lt;/em&gt;&lt;/p&gt;

&lt;p&gt;What numerous Microsoft CRM clients might not realize is that as of today the current version of the Microsoft CRM Outlook Client is at least 3 versions beyond that and that does not include minor patch releases.&lt;/p&gt;

&lt;p&gt;Have you stopped using the Microsoft CRM Outlook client because of v1.0 issues? It is time to revamp.&lt;/p&gt;

&lt;p&gt;A few huge things have signifcantly made a difference to the Outlook Client for CRM. &lt;/p&gt;

&lt;p&gt;1) The release of SQL Express 2005 (with the release of SQL 2005 in 2007) - This changes the local database that the Outlook Client for CRM uses when going offline from a fairly low end access oriented database (MSDE) to a very robust and more enterprise level local database (SQL Express 2005) SQL Express 2005 has form, function and power similar to SQL 2000 &lt;/p&gt;

&lt;p&gt;2) The adoption of Microsoft Office and associated Outlook 2003 Service Pack 2 (released late 2005) and other updates released over the last 3 years - Certainly the Outlook Development team also continues to fine tune and improve their products and client adoption of Outlook updates helps the CRM team. When v3.0 first came out many clients were not running Office 2003 Sp2&lt;/p&gt;

&lt;p&gt;3) The release of Microsoft CRM Outlook Client v3.0 R1 (December 2006) and R2 (June 2007) in response to the new VISTA operating system and the new office suite 2007.&lt;/p&gt;

&lt;p&gt;4) The release of Microsoft Outlook 2007 (Totally changes and improves the Outlook footprint)&lt;/p&gt;

&lt;p&gt;The CRM Development team  rewrote the CRM outlook client for Microsoft Dynamics CRM v4.0 based on Outlook 2007, SQL Express 2005, and a major truck load of CRM outlook client v1.0 field feedback.&lt;/p&gt;

&lt;p&gt;Now the world isn't perfect. When they released the Microsoft Outlook client v3.0 R2 for VISTA and Outlook 2007 they had to release another &amp;quot;fix&amp;quot; for those clients using Microsoft Outlook v3.0 R2 on older systems (such as Outlook 2003 and Windows XP) &lt;/p&gt;

&lt;p&gt;The total key for companies using the Microsoft CRM Outlook client ! If you are having problems talk to your partner about readdressing what is really going on. &lt;/p&gt;

&lt;p&gt;1) Check which version of the Outlook Client for CRM you are using. &lt;/p&gt;

&lt;p&gt;2) Strip off and uninstall the Outlook Clients for CRM&amp;nbsp; that are not working (INCLUDING deleting the associated CRM MSDE local database) &lt;/p&gt;

&lt;p&gt;3) Check what other Outlook Add-ins are running (nothing like 3 toolbars and 4 different popup blockers to cause headaches for CRM)&lt;/p&gt;

&lt;p&gt;4) Check the RAM in the workstation. RAM is cheaper now and the current applications in the owrld require and fight for it regularly. (1Gb is not enough, in my machine with all I do 2Gb is not enough) &lt;/p&gt;&lt;/div&gt;

&lt;p&gt;&lt;strong&gt;Do Once: (this can even be done during the installation process)&lt;/strong&gt;&lt;/p&gt;

&lt;p&gt;1) Using Advanced Find choose the criteria of data you are interested in on an ongoing bases. Take for instance closed sales totals by month, sales person and category.&lt;/p&gt;

&lt;p&gt;2) Save your Query&lt;/p&gt;

&lt;p&gt;3) Display your Query&lt;/p&gt;

&lt;p&gt;4) Using the Excel Button, Click and choose create a Dynamic Excel Pivot Chart&lt;/p&gt;

&lt;p&gt;5) Design your chart from the numerous powerful Microsoft Excel features leveraging the data from your Query.&lt;/p&gt;

&lt;p&gt;6) Save your new Dynamic Excel spreadsheet.&lt;/p&gt;

&lt;p&gt;&lt;strong&gt;Do when you want&lt;/strong&gt;:&lt;/p&gt;

&lt;p&gt;7) Each week/day/hour (etc.) Open your Dynamic Excel spreadsheet to check out your chart. (you do not need to be in Microsoft Dynamics CRM) Notice that your custom chart/graph&amp;nbsp; automatically updates with current Dynamics CRM Sales data! &lt;/p&gt;

&lt;p&gt;8) Want to take it a step further?&lt;/p&gt;

&lt;p&gt;9) Add other data from other systems into the same spreadsheet, add some formulas, do some more charting.. &lt;/p&gt;

I then realized that I really only wanted to send a letter to a selected few of these and as such I quickly used CNTRL click to highlight each of the Accounts I was interested in.&lt;/p&gt;

&lt;p&gt;Using the menu item on the Outlook client, CRM Mail Merge, I proceeded to create a new letter in Microsoft Word which merged in key account and contact information.&lt;/p&gt;

&lt;p&gt;Wow, that was easy and one of the tasks on my todo list was completed. &lt;/p&gt;
