internal control over vendor card changes

We allow our accountspayable clerk to create new vendors.

We'd like to automate a work flow so that it goes to a second level for approval.

We'd also like to limit any changes to the vendor card at her level once it has been approved.

Question - how can we automate a work flow on vendor card initial set up

- and set permissions to allow her to create the card initially, but limit her making any future changes.

  • The first part of your question is easy and there are several directions.  One of the simplest that comes to mind is Business Alerts where a person or group can receive an email when a new record is added (or edited)

    As for restricting editing, one of the best approaches is simply to keep an audit trail of changes since many times there are legitimate reasons for changes to be made by the person creating the record.

    Short of actually creating a workflow via programming, all we have is an 'after the fact' notification. My clients often use the 'created date' field in the vendor maintenance table to notifiy the powers that be of a new vendor. There is also a 'modified date' to alert of modifications. Still, it doesn't solve the problem of preventing the change to happen in the first place. Do you have the electronic signatures module? That could be a handy way to prevent changes.

    Everybody has the Activity Tracking module out of the box, no SQL experience required :)/
