email invoice functionality in Invoice Entry

We are limited to using invoice entry because our front office database because our front office database developer built their integration to GP to use Invoice Entry.  We are having more clients demand that invoices are submitted electronically by email as a PDF.  The front office developer has built email invoicing functionality into the next version of their software, but at a price of an additional module.  Does anyone know if Dynamics GP 2013 will expand email document functionality to Invoice Entry so we can avoid having to purchase the additional l module from our front office developer?

  • Michael,

    Do you use Office 2007 or 2010?  If so, with a little work, you should be able to create a Word Template for the RM Blank Document (should be the name of the invoice report you are using). When you enable the template and set security, you can print that to the screen and email it right out of Word. It's a few steps to use it, and you'll probably want to customize the template, but it's free!

    Just to clarify what invoicing feature you are using, are you accessing this from Sales > Transactions > Transaction Entry -or- from Sales > Transactions > Invoice Entry?

    The Word Form Template that is available is for Transaction Entry (invoices without line item detail), not of Invoice Entry (with line item detail), please let me know if I'm missing something!

    Depending on how much the front office solution costs, you may want to consider Accountable's Forms Printer product.  I have supported this product for several years and it is outstanding.  Forms Printer uses either SQL Reporting Services or Crystal Report templates that are reletively easy to modify and it is a quick deployment.

  • Aaron,  Yes I am using Office 2007.  We are using the sales>transactions>invoice entry window which does not appear to have a word template there.  Can a template be created with the Word Template Generator for the blank invoice report?

    You may be able to use the Word Template Generator to create a form, but the underlying issue here will be rendering this through the system for email functionality.

  • In the interim, I have generated a template for the blank invoice, but don't see an easy way to email out once generated.  I have little knowledge of the mail merge functionality within Word and am not sure it will meet the need I am seeking.  Which directs me back to the original question if 2013 will add email invoice functionality to the transactions>sales>invoice entry window.  Meanwhile, I will play with the word template and see if it has the email capability I am seeking.

    If you are in fact able to print the Word template for this invoice, then simply print it to the screen and it will open Word.  Once in Word, you should be able to "send" the document as a PDF and Word will actually open a new Outlook message and attach the document for you to send it. You shouldn't need mail merge or any other intermediate application to do this.

  • I am actually looking for emailing out multiple invoices to multiple clients at the same time, like the email functionality in GP's Transactions>Sales>Sales Transaction Entry window.  Thanks for your responses.

    I don't know what GP v2013 will have in store around invoice printing.  If you have to have this sooner than that or if the cost of the front office module is a deterent, I would really explore Forms Printer for this functionality.

    We have a product  here in the UK Spindle Professional - it does exactly what you want. it is sold by most partners here and does it all at one click.

    In short, it takes any document from anywhere in GP (or any other windows app for that matter) and dynamically brands its, grabs any attachments (T&Cs) then knows automatically how to get the document where it needs to go (Email/FAX/Mail). It can also auto-archive the document into pretty much any logical file structure. If you want it can archive to a network drive or Index it into SharePoint or CRM.
