We have several checkbooks and would like to allow the PR user to access 2 payroll checkbooks but restrict access to all other checkbooks. I am new to administrating GP 2010 so please be descriptive.
Thanks in advance for any help.
It's not a normal IT type function.
A Dynamics GP partner that has developers would be your best bet here.
It's probably a couple of hours work for a GP developer.
It would be something along the lines of adding code that looks at the GP user that is carrying out the action and then checking that the user against a setup window (and table). That setup window would have the specified user IDs linked with the preferred checkbook IDs.
Being in a setup window, would then allow you to make changes over time - for example if new users join etc.
By limiting access, do you mean access to those 2 particular payroll checkbooks within the "Checkbook Maintenance" window? (Cards > Financial > Checkbook).
If so, I think that may require minor customisation.
The standard security can be set to grant or deny access to the "Checkbook Maintenance" window as a whole - but I think you are saying you want a given user to be able to access that window, but not be able to select or work with certain checkbook records.
Thank you for replying. Yes, I believe that would reflect the actions desired. How much customization is required and is it something that might be accomplished in-house or best left to a GP consultant?
Our IT staff consist of system admins and database engineer/admin, so if the customization require a lot of GP process knowledge then I'll have to recommend to the CFO that the task be farm it out.
They actually wanted the abiltiy to select /limit Checkbook ID from within the Print Payroll Checks. They said someone else in their dept has the ability to select one the ones that fails under her responsiblity without displaying the other checkbooks.
Transactions >> Payroll >> Print Checks
The other person is a accounts payable...guessing it's a simular window where she prints checks.
