I am looking for some suggestions around Vendor change proposal workflow. My customer has a requirement to enable vendor change proposal workflow whenever a bank account or BSB number is changed on Vendor bank accounts form. In standard process, the workflow can only be enabled, if the bank account number is changed on Vendor master form -> Payments fast tab. I have looked into the customization options, but it looks complex as the workflow gets enabled on Vendor master form and not Vendor bank accounts form. The display method under payments tab does show the updated bank account number whenever it is updated on vendor bank account, but I am struggling to capture the modified event for display method field, so that I can enable workflow based on that.
Does anyone here have better ideas how to implement the above requirement? I know the requirement can be fullfilled if customer creates a new bank account record with updated bank account and BSB number and then select the new bank account number on vendor master form, but if there is an easy way of achieving what customer wants, then it would be great.
Do you think about to use permission to control that vendor bank account can only be edited by the specific user?
And also use change proposal workflow to control the selection of new bank account.
There are certain users who can change bank account and Finance manager wants to review it before it gets changed on the vendor bank account record. We can't block users from changing the bank account, this is not the requirement here.
You can consider a customization to enable workflow on vendor bank accounts. It would also be possible to enable alerts, so the finance manager gets notified and can also review the changes.
You should consider putting vendors on hold and activate vendor workflow (extension)
Use security to give access to fast tabs/fields based on business needs and include them in workflow
Once workflow completes could remove vendor hold
I guess there is no need to get worried about the display method (showing you bank account number)
It is derived from selected bank account. so, as soon as bank account is changed (which is a field on vendtable>>BankAccount) , it should be possible to manage workflow based on this physical field.
In order to enable workflow for vendor bank accounts, I need to create a whole new workflow for vendor bank account and implement the same customization as it is for Vendor proposed change workflow. This option requires lot of customization, I wanted to utilize the existing vendor approval workflow to accommodate the changes for BSB number and Bank account on Vendor bank accounts form, but that doesn't seem possible to me or it would be very complex.
With Alerts, the field value would be changed straight away and won't go through any approval, right?
How could putting vendor on hold prevent the changing of the bank account or BSB number on vendor bank accounts form ? Are you saying, on changing of bank account number, activate the vendor approval workflow and put vendor on hold, so that posting cannot be done for this vendor and once the workflow is approved, revert it? If the workflow is not approved, then revert the value for bank account field on vendor bank account form ?
But the user want the workflow to be activated, when bank account number or BSB number is changed on Vendor bank account form, not on vendor form ?
Using alerts, it will indeed not go though an approval process. I do think a customization for a new workflow might not be that difficult. The vendor approval workflow is not possible as it is created for the vendor table/form specific.
Thanks Andre for your valuable suggestion. I will try to enable workflow for Vendor bank account on the update of Bank account and BSB number. Let see how it goes.
with specific ask of control on vendor bank accounts, extending workflow on this table as suggested by others is ideal
