Hello, We schedule our resources on projects using PSA. Every project has a in charge who schedules staff on their project. Each project manager can pick any staff who is available for the dates they need. We don't allow staff members to change their bookings.
Sometimes on the day work needs to happen, we realize the client has to reschedule or something happens that work cannot be performed on that project. This creates a situation where the staff member is suddenly free that day. Currently, in such a situation, staff member will email or call the respective project manager. Project Manager then has to cancel the booking for that day (and possibly make a booking for another day). 2 issues with this - 1: Communication is outside PSA and project manager has to watch multiple sources to stay up to date. 2: If project managers don't update the schedule immediately, then other project managers don't know that someone is available and staff member ends up sitting idle for that day even though they could have assisted with other work.
1: Is there a way sudden changes in their schedule can be communicated via PSA by staff to project manager ?
2: Can this show up in real time somewhere so other managers can book the resource ?
What is the action you want the booked resource to take when a customer cancels? Do you want them to jump in the system to click cancel somewhere?
The first thing that comes to mind is having a mobile app (either the OOTB app by MSFT which you can use with the upcoming V3 in PSA or a custom PowerApp or the Field Service app) that has the user's Active Bookable Resource Bookings listed. The user can then deactivate delete the related BRB for meeting that was canceled (deleting a BRB is not possible as a Business Process Error will follow; a BRB has to deactivated). When you deactivate or delete a BRB it disappears from the Schedule Board.
The deactivated or deleted BRB fires off a workflow that sends an email to the Project Manager.
Sounds good. We will try. In the first version, perhaps we can just ask them to use the web version. When a booking is deactivated, will schedule board show the resource as available ?
Hey I just edited my original reply above. Forgot I had an issue with my environment and I wasn't able to delete BRBs. Deleting BRBs IS possible so you don't have to deactivate them but can delete them instead if you so desire. The BRB disappears from the Schedule Board whether you deactivate it or delete it.
