I created a workflow that will create an appointment when a custom field changes (in the lead form).
Note: the custom field is a Date and Time field.
This workflow appears to work, because under "activities" it shows the appointment created.
However, the appointment does not sync to my Outlook calendar. (Note that when I manually enter an appointment, it does sync)
I think the reason is because the Status in the Appointment is "Open" rather than "scheduled."
(I tried making an appointment manually and it synced, the only difference was the status read "scheduled" for the manual appointment.
Here is a screenshot of my workflow:
"Set Properties" tab:
Robin - I think I found a solution to your issue, you need to add a step to your workflow. I have tested the below solution and it created the appointment as "Scheduled."
Please let me know if this solves your issue!
Thank you! It did change the status, however it still did not sync to my outlook. Any advice?
I have this exact same issue & already changed my status to Scheduled busy on the create Appointment, but it isn't synching. Did you find a resolution to this?
Anyone find a fix this this problem? Seems to have started for me in the last week:
- appointments that are triggered by Workflow where I am the Organizer will not sync
- Appointments that are triggered by Workflow where I am NOT the organize sync to the other user and send the Invite to me as designed
- Appointments that are manually created where I am the organizer sync
My appointments eventually synched - regardless of the Appt status. I just took a few steps out of my workflow and they synched again. They just took up to 15minutes to show some times!
Maybe put an image of your workflow so we can see why it isn't happening?
After how long it take? My workflow is two steps create appt and set appt to Busy. Very simple. The workflow and expected results work fine for my other user. Just my user account and mailbox do not sync.
It is very odd.
That is really weird. Are you the owner of the appointment once it is created? Is the workflow background or real-time? I made mine real-time and that worked.
Yes very odd. Was your issue related to a specific user or all users were effected?
We had a similar situation. Our manually created appointments were synchronized properly with Outlook, but not the ones created with a Workflow. The reading your post and looking into the organizer field in the appointment created by the workflow, I've seen that it was empty.
I've just completed the field (that you will find in the section Additional fields) with the Owner (in our case of the opportunity) and it syncs fine now
