i need to add a prefix to a set of existing contacts, for example :
current contact name is : John Smith
i need to make it : xyz-John Smith
how to do this in bulk for hundreds of contacts.
you can export the field to excel - make the change and then import the changes. I do not know any way to do this from within D365 unless you right some kind of script.
but this may now in my situation. because reimporting data means that i should remove it first, which is not doable because these contacts are linked to many other records in different entities.
Why do you have to remove? If you export it via dynamics it keeps the GUID and re-imports with the changes
https://dyn365pros.com/2018/04/18/update-data-in-dynamics-365-using-excel/ is one step by step info.
You can do this by workflow and run your workflow on all the contact records, using workflow manager , check my post for the same: http://himbap.com/blog/?p=1244
thanks, but how re-import will work if data is not removed, all records will fail in import due to the keys on this entity.
ok, how to do this workflow? can you elaborate?
I mean, you can create an on demand workflow to have prefix using update steps for example here I am prefix before the first name
thanks, what if i want to remove the prefix? how to do it?
because this prefix may change later according to some business rules.
you should be able to that again with workflow/custom workflow or export it and re-import after updating it.
i appreciate if you can give me a hint how to remove part of a string using a workflow.
also for the export, do you mean the regular export function in each entity views? if yes, do i have to make a view that includes all fields and then export it? or there is another export function that i am not aware of.
As I said you may need to get custom workflow to remove then part which will be reading name and truncate that particular part from the name field, maybe you can look this custom workflow utility:github.com/.../CRM-String-Workflow-Utilities
You can export it from view itself but make sure you include all the fields you need (which you want to update) in this view, you can also design your view in advanced find and export it to excel edit and re-import them back.
another question about export/import.
if i do export, then i do import after modifying some data (without removing the original records on dynamics365), will this be considered as an update to the existing records? or it will result into duplicate records / rejected records (depending on the selected option while import)?
When you export data from CRM using excel it has a hidden column which basically holds GUID of the record, so when you will import it back to CRM, based on the GUID, CRM will identify records and will only Update them, but let's say in the same file you added some new records which is not present in the CRM, only then it will create new records .
I hope it's clear.
thanks a lot Mahander
so this helps me update existing records.
