We are currently migrating to Dynamics CRM and are importing activities from our previous CRM system. We want our previous phone calls to be imported as 'closed' activities and not as 'open activities'. I am aware of the fact that you may be able to create a workflow that closes the activities after import but that leaves us with a second issue:
The Social pane only shows 'modifiedby' and 'modifiedon' information on activities. This means our previous calls come up as from Today instead of years ago that some of them are so users cannot see when the original call took place. Additionally the 'modified by' is changed as well so we cannot see who did the original call. (we us a plugin to overwrite modifiedby and modifiedon during import) Is there any way around this?
I'm hoping that anyone has a solution for this.
I reckon that as a last resort we could import the date and caller as text into the description but I really don't understand why it is so hard to correctly import historical data so I'm really hoping I'm doing something wrong here!
I have tried to import phone call as completed into my instance and it worked successfully.
First we should choose "completed" in "activity status" column in excel.
If you are worry about that the system would cover the "owner", "created on", "modified by" fields, you should add these fields in to the excel and make sure that these fields have data in the excel so that when importing the data, the system will first store the existing data.
In general, the import function is very convenient for us.
Hope it helps.
Leo, you're the best!
That seems to work great. I was under the impression it wasn't as easy as setting the activity status since other answers hinted that one should workflows for this (which would reset the modifiedby).
Also, modifiiedby and modifiedon fields cannot be set during import by default but we use a plugin for that which overwrites the 'modifiedby' and 'modifiedon' values with values from custom fields: community.dynamics.com/.../migrating-importing-data-and-maintaining-created-by-modified-by-and-modified-on
Good day partner,
Thanks for your trust and recognition.
Importing existing data into Dynamics 365 will not override the data with OOB function.
If we use workflow to bulk update the status of activities, the modified on field will be changed by the system.
I hope you can successfully import the data with OOB function :-)
