Hello! I have a situation where Accounts are owned by Teams, as are most of their child entities. But the requirement is that Activities, Opportunities & a custom entity ("Participants") must be owned by the User. But then all Activity, Oppy, and Participant records should be viewable & editable by anyone on the user's team.
I'm trying to figure out the best way to accomplish this.
-If Security Roles had an access level of Team, that would solve my problem. I can't convert the teams to Business Units and use the BU access level because there are way too many teams (42).
-An access team sub grid won't work bc you can't add a team. Can't have a user update the team because this needs to be done automatically.
-The only other option I can think of is Sharing, and while I don't like the impact to the PoA table, even this isn't an option bc you can't share via workflow (that I know of). And won't work to have a user doing the sharing...all records need to be "shared" as they're created or record owner is reassigned.
I'm hoping there's some obvious answer that I am missing?!?!
you may consider the "share record with team" (4) capability of Demian's Workflow Tools, but as a third party solution.
You can trigger workflow to run on record creation.

Hi Natasa and thanks for your response. It was looking good until I realized it wouldn't be dynamically updated as a user's team(s) changes. Looks like we'd have to account for setting the teams for every single user, then keep that updated as teams for all users changed. Unfortunately that is too many users & teams and wouldn't work. Was hoping for something to work similarly to privileges in security roles - it shares with the owning user's team(s), regardless of which teams those are/as they change.

Hello again,you could try modify workflow's properties as to add dynamics values, like
or (if this is not solving your case) try to create another "user/team" lookup field, in order to store the desired value and pass it to the above workflow.
