We have a workflow which creates and sends email in Dynamics 365 Customer Engagement. Those emails are piling up.
How can I delete e-mail with a workflow, after the e-mail is send? Would it be a solution to trigger a workflow on change of status field, and check if the value is "Sent" and then delete the email?
The scenario you describe is doable but as for me it's much easier to configure bulk-delete job that will start daily and clean up emails sent - crmtipoftheday.com/.../
Thank you, Andrew. This sounds as a reasonable solution.
Just for the sake of completeness: would it be correct to create a background workflow which is triggered when Status Reason of the Email activity is changed, and when the new Status Reason equals to Sent?
Yes, that should work. But in this case you will have to either create a custom workflow activity that will delete the record or use one of toolkits available (like mine) because OOB workflow doesn't have "delete" operation.
Thank you, so either install the solution github.com/.../Dynamics-365-Workflow-Tools and use Workflow to "Delete Record" or use Andrew's github.com/.../UltimateWorkflowToolkit
