We have multiple types of accounts, leads, and opportunities and different people need different access based on these types. For example, a some people should only have access to accounts of type "investor", while others should only have access to accounts of type "customer".
Is there a way to set a record rule on a security group so that instead of having access to all accounts, they only have access to accounts where a field is set to a certain value (e.g. if account_type=="Investor")?
Thank you for your query.
This is normally achieved using Business Units and record ownership. Business units are assigned to Users/Teams.
This means, you can control the records based on ownership (Business Unit).
There are security rules based on data (or a field).
For example, you can define 2 business units (Investor, Customer). Then set read/write levels to BU and assign appropriate business units to users (or teams).
To elaborate further:
You can explore more on Business Units:
Create or edit business units - Power Platform | Microsoft Docs
Control access to Marketing records with business units (Dynamics 365 Marketing) | Microsoft Docs
This is how to configure security roles:
Security roles and privileges - Power Platform | Microsoft Docs
Additional note: You can also control which forms to show based security roles:
Assign security roles to a form | Microsoft Docs
The above can be achieved by Access team or Owner teams feature of CRM. Please refer the document https://docs.microsoft.com/en-us/dynamics365/customerengagement/on-premises/developer/use-access-teams-owner-teams-collaborate-share-information.
Hope this helps!
