How to reduce mistakes with Posting Preview before Posting documents and journals

Hello everyone, thanks for your time. My name is Christos Pittis, and I am a Microsoft Dynamics NAV Consultant. In this episode, I am going to show you how to use the Posting Preview feature so to eliminate posting mistakes in Microsoft Dynamics NAV 2016.

 

On every document and journal that can be posted, you can choose the Preview Posting button to review the different types of entries that will be created when you post the document or journal.

The good news is that no setup requirements needed to use it.

Go to the General Journal page and open the batch you are working. As you can see I created some journal entries and what I need to do is a final check before posting. I can now hit the Posting Preview button at the top, which locates under the HOME tab. The Posting Preview Results page pops up where you can see all the related entries, ready to be posted after clicking on the Posting button. You can easily drill down into the entries to see the details.   Notice that the Document No. has been set to “***,” meaning that it did not get assigned a number from the posting number series. It did not hit any of your accounts. Let me create a new journal entry to show you what happens if you miss something that affects the normal posting procedure. In my example, I will be paying salaries for August 2016. The money will come out from my bank account. In the first instance, I have everything right and click on the Posting Preview button to see what the related transaction would be. In the second instance, I forget to enter the bank account number. After hitting the Posting Preview button, I get the following warning “Document No. G00001 is out of balance by -100000.  Please check that the posting date, document type, document no. and the amount is correct for each line.” I click OK to close the error message and enter the bank account number in the Bal. Account No. field.

I will run the Test Report feature we used to run “the old days” just to show you the relevance of these two tools. Great isn’t it?

I will run Posting Preview one more time to make sure that everything is fine and the I can post the entries.

In my second example, I will create a Sales Credit Memo. Enter the Sales Header and Lines details as you normally do and hit the Posting Preview button which locates under the ACTIONS tab at the top. I see no errors coming through, and the Posting Preview Results page pops up. I can run a final check to make sure all the accounts will be affected as expected, and then I can post the document.
