Wish You Could Pull Microsoft Dynamics GP Data Directly Into Excel? (Part 1)

Well, you can!  Users of accounting software packages are constantly searching for easy ways to pull information into their beloved Excel to use familiar functions such as totals, subtotals, filtering, and sorting on the data.  With the tight integration between Microsoft Dynamics GP, Microsoft Office, Microsoft SharePoint and Microsoft SQL Server, there are multiple ways to accomplish this task.  Your exact options vary depending on which versions of those products you are running, but your basic choices include such things as:

  • SmartList and SmartList Builder
  • Excel Report Integration
  • SQL Reporting Services
  • SharePoint Report Library Lists
  • ODBC/DSN

SmartList and SmartList Builder are features internal to Microsoft Dynamics GP, so you must log into the accounting system to use them.  They are widely used and very easy to learn.  If the pre-built query capabilities in SmartList don’t give you what you’re looking for, it’s likely that SmartList Builder will.  SmartList installs with MS Dynamics GP; SmartList Builder is an additional purchase.

But the choice I’d like to highlight today is the often-overlooked Excel Report Integration tool that became widely available as of Microsoft Dynamics GP Version 10:

  • It uses a direct connection to MS Dynamics GP, so data in your spreadsheet can be refreshed and current at any time. 
  • Since you do not log into MS Dynamics GP to run Excel Report Integration, you aren’t using a costly user license.
  • Excel Report Integration is usually included in your purchase of MS Dynamics GP, so there’s no additional cost. 
  • Best of all, Excel Report Integration comes with a large number of pre-built reports. 
  • You can use the pre-built reports as they are or you can make modifications to better fit your reporting needs.  If the modifications needed are minor, you wouldn’t even need to know anything about data tables, so that’s a big “plus” for using Excel Report Integration.

SQL Reporting Services, SharePoint, and ODBC/DSN are options that will be discussed in future blog entries, along with a more detailed analysis of SmartList versus SmartList Builder.
