Today we're going to discuss Auditing and some things to think about when implementing this feature. This incredibly powerful feature that allows us to keep compliant and know what's changed when.
The auditing section can be found under Settings then Auditing. When you get to the section you should see something like the following.
Let's take a look at the four different options in more detail now.
The global audit settings comes with a couple of options. It allows you to specific if auditing is enabled for the organization. It allows you to turn on auditing for user access; this means when a user logs into CRM it created an audit record for this. Your also able enable auditing for areas (Common Entities, Sales Entities, Marketing Entities, and Customer Service Entities).
The entity and field audit settings option opens the default solution. This will allow you to turn auditing on at an entity level and then on individual fields.
This view lets you look at all of the auditing records created across your whole organization. It's a great spot that you can filter down to a user or entity or record.
The audit log management is one of the most important areas because this is where you can see the size of your audit logs. Your able to manage through deletion of audit logs in this spot. It's worth noting that each log is 3 months worth of data. This means that a new log is created every 3 months.
Now that we are a bit more familiar with whats available to us in the auditing functionality within CRM let's talk about best practices. The auditing feature can be very powerful but very dangerous and costly if it's not managed properly. I believe that a strategy should be implemented when dealing with this feature and that this is something that commonly gets underestimated time wise. Auditing can grow to large sizes if kept unchecked and this can be costing your business disk space. It is worth noting there is a plugin called Audit Center for the XRMToolbox http://www.xrmtoolbox.com/ that allows you to easily modify which entities and fields auditing is enabled for. I suggest you get comfortable and understand how to use both but this tool definitely saves time if your requirements are complex. It's important to remember that auditing isn't just a turn on and walk away for every; it needs to be managed as your organization grows and changes. Hi Jason.. Is there any way to verify the audit for printing. Ex: I want to verify the users who printed the data in CRM. Mainly i want to track the user who printed any of the CRM data? Is it possible through out of the box? I have implemented export auditing with customization but want to know whether is there any way to audit the print functionality or reports creation or view creation
