In these days of constant email, sending personalized mail can be a great way of keeping in touch with your customers while making each of them feel special. Microsoft Dynamics CRM helps you do this through the Mail Merge process. For example, if you want to print letters for multiple customers with names, addresses and other fields inserted in it, then mail merge is a great option.
If you don’t need to print a lot of letters, you may prefer printing an email through the Print Preview option instead of doing a mail merge.
However, this is not always the most aesthetic or efficient option.
In Microsoft Dynamics CRM 2013, mail merges can easily be done through an advanced find on lead, contact and custom entities.
One thing you may encounter when using the Date field in the mail merge template is that it may not display as you want out-of-the-box. Even if the Date field in CRM is in Date Only format, when the Mail Merge field shows up, it may shows with date and time. You don’t really want the recipients to get welcome letters dated 1st April, 2014, 11:59 AM!
This can’t be changed in CRM—it needs to be changed in the template itself. You can edit the document in Microsoft Word. Here’s how:
It is also a good practice to have a template with the appropriate logo and address in a standard format. That way you can use it for any letters that you want to print out by easily changing the word content and inserting fields as needed.
