Report Scheduler add-on for Microsoft Dynamics CRM 2013 / 2011 Online and On-Premise allows easy scheduling of out-of-the-box CRM Views as well as user created personal Views which can be received in email automatically based on the scheduled pattern.  This blog explains the new features that we have added in v5.0 which has been released recently.

New features added in Version 5.0:

1. Notes special report

Notes are equivalent to paper sticky notes which are very useful for storing bits of information related to customers which could be used later. With the release of Dynamics CRM 2013, Microsoft has completely revamped the Notes section, offering creating, editing & deleting notes right from the social pane.  This has seen an increased adoption of more and more CRM users using notes extensively whether for leads or opportunities or cases. Looking in to this increased usage, we have created a special category of report which will organize / group the notes by each of the entities along with the grouped fields as shown below:

Sample use-cases include daily pipeline updates or daily lead updates report which would only display newly added notes with key fields from either opportunity or lead.

2. Add Summing in Reports

Wouldn’t reports make more sense if they could be grouped and summed up… now in version 5.0 you can also add Total and Grand Total as shown in screenshot below:

3. Multi-User Scheduling of single report

Let’s assume that you have a sales team of 25 people for whom you need to schedule the weekly pipeline report and each one should receive only their records and not others. 

We all know that the only way to achieve this would be to schedule report for each user separately… which will be lot of manual effort…in not only creating but also maintaining (in case when the report needs to be changed)…

So to avoid this manual effort we have added new functionality which will allow the administrator to schedule a single report which could be sent to all the CRM users (and each CRM user will receive only records which are relevant to him/her).

As can be seen from the screenshot below:

Option 1: Here Email recipient’s need to be manually typed in. This can even be non-CRM users.

Option 2: Here the administrator can select a User View. So only the users in the view will receive the scheduled report.

The difference between Option1 and Option2 is that in option1: all email recipients will receive the same report (same records) which has run under the security context of user that scheduled this report… where as in Option2: each CRM user will receive a different report which has been actually run under the security context of the underlying user.

This feature has truly been a breakthrough for us!!!... given the 2-minute time limitation of custom workflows in CRM Online environment… don’t ask us how we did this :)
