We are finding in CRM 2013 that the recently viewed under Accounts and Contacts disappear for no reason at all. This only happens for some users, does anybody have any ideas of what maybe causing this?
Hi, check whether the user have User Entity UI Settings permission in the Security Role.
Go to Security Role of the user, go to Core Records tab:
Thanks for this Aileen, but would this really explain the recent list showing for a period of time then eventually just disappearing? If it was a security issue, the recent list would not ever show for the users surely?
The recent views depend on the user security role or the records recently viewed by the users.
Hi 1984 :)
Have the user see the Recent View after you give those Privilege?
You need the UserEntityUI Setting because the recently view is stored in this table basically.
For the Period, I think CRM has the period, not sure how long, but I test, as long as I did not restart the server, still got that, but the newer will replace the older, as I know in CRM 2011, only 50 item that can be pinned.
Thanks for the advice.
If this was a security issue, then surely it would not show the contacts or accounts in the recent list for a short period of time then disappear. It would never show them as their security rights would always make the recently viewed lists permanently unavailable.
Just to add to this...
The users could see the recent items, about four or five of them and then 10 minutes later they are no longer there. I am wondering if this is just a generic issue where sometimes you need to refresh the screen as it sticks.
Yes I realize that some records disappeared after I refresh, but some did not.
If you are using CRM OnPremise, you can check this query:
select RecentlyViewedXml from UserEntityUISettings
where ObjectTypeCode = 1090
So that your user need to have access priv to UserENtityUISettings
change the ObjectTypeCode to your entity, for example: Account = 1, contact = 2, product = 1024, etc
select query to the user that you use.
The recently view is basically by user, not by organization.
I found an article today that basically confirms what you are saying so we are going to give this a try today. I will let you know if it works. :)
(this security privilege stores the ID of the last form viewed if that entity has multiple forms)
Is it CRM Online 2013 or On Premise ?
If On Premise what update rollup is installed on server ?
Are we seeing the same behavior on cross browsers i.e. Chrome, Firefox for those affected users ?
Is this issue happening only on contact and account entity ?
What if the affected user logs into CRM from different system ?
We can try giving system admin security role for one affected user and check the behavior to ensure its not permission related issue.
Also we can try the workaround suggested in the below blog for the same issue:
Thanks Churchill. I will give this a go tomorrow. We are seeing this on all browsers and I am pretty sure it is not security related. It is an on premise system and happens for different users. I will update you on whether the script runs or not.
Maybe this issue was solved long ago, but I ran into the same problem during user training. The solution presented itself in the links below, and can be summarised into:
Only 40 ‘recent’ items are displayed throughout the system for one specific user. If the records this user has viewed drop off from the list of 40 because any other records are viewed later, and no contacts or accounts are in the list any more, these entity specific lists will appear blank.
If Name Attribute is null then "Recently Viewed" item will not appear
I have seen behaviour where recent posts are not saved to the recently viewed menu. Some posts will be on the list - but not the most recent. And the list does not update. This applies to both Internet Explorer, Edge and Chrome and on different PC's in the same domain. Both CRM 2015 and CRM 2016. Online. If posts are pinned - a refresh (F5) of the page removes the pins again.
For one of the orgs: If user signs into CRM from a PC outside the domain recently viewed posts are updated.
For another org: Different users within the same domain experiences different behaviour. Some can see recent posts - some not.
So it seems to be an Internet Security issue - but which setting controls this?
Anyone else with this behaviour?
we're seeing a different problem. pinned records work for all users but there seems to be no rhyme or reason why or when they disappear and stop being pinned. so far I have found no documentation on how to control this. for example, if a user has a pinned item they want to KEEP pinned, how can they control this? the system seems to indiscriminately flush pinned items for even admin users, and we rarely see the maximum of 40 records showing in the recent list, even when reboots aren't done frequently. would love to find some documentation on how to better control this feature if anyone knows where to find it! Thank you.
For me it turned out to be a Windows issue.
If the PC has another language than English the pinned posts/views and recently viewed does not work.
It has nothing to do with base language or language packs in CRM. It is the Windows language.
It has been acknowledged by MS and should be fixed in most recent update for Online.
i think this info is (unfortunately) stored via cookies, locally, on a per-client basis. if users change clients, or delete cookies/cache, that might explain the inconsistent performance. I have yet to find any place where MS has clearly documented how they manage what's pinned or the recently accessed records and views. If anyone else knows, please post it. Thank you.
Yes, the solution was to have English as Windows Language.
