Here is the situation, I have an entity with several records, each one has a unique project ID, each record also has a contact (not actually in the default Contacts entity), some contacts may have several project IDs related to them. I need a way to do one of the following, either be able to show all the related project IDs for the specific contact within the form for the project ID, or when a note is entered in one project ID, it gets duplicated into all related project ID notes for that contact.
I have the default Contacts entity populated with contacts, but I need to either remove them and start over, or update them. I would prefer to start over and wanted to know if I can just delete all the current contacts without causing any issues.
What you can do is let user enter notes data in contact entity custom filed and using workflow or plugin to create notes in all child project records.
here is the link to the workflow where you can trigger workflow in all child records from parent record.
You could pass notes data as input to your child workflows from the contact entity
Currently the Contacts entity doesn't have any relationship with the data in question. I'm a CRM n00b.
If you have anyway to find all projects that are related to contact then you can write custom workflow or plugin to trigger workflows on the project entity to create notes.
One of the reasons I was hoping to be able to use the OOB Notes field is that it automatically appends the date, time and user whenever a new note is created, and creates a new, empty note field upon completion. Is there a way to do that with a user created field? Thanks for your input thus far!
This may be a solution. How hard would it be to export the database with all my data, and then re-import it into Contacts, and delete the data currently in Contacts?
Nope custom field wont track date time and user name.
Here is the steps that may help to push date that created in contact to projects.
1. Create a workflow that fires off of the Notes entity
2. In the workflow before firing check whther notes is created for contact regarding type so fire your custom workflow with passing regardingid and notes data as input parameter.
3. In the custom workflow step based on the input values you should be able to find all related projects of a contact.
4.Once you get the all the related projects fire child workflow pragmatically to create notes in the project entity.
