When we assign the workflow to the Email Router User... it goes as draft and needs to be published... the only thing is that our email user account doesn't have access to log onto the server using Remote Desktop Connection... (not in the security group) as it is a server account and it is against our security policy... and the workflow can only be published by that user... how are other organizations working around this.. is one person responsible for the email router account... our security views the account as a generic user account if they grant it security to log into the server using Remote Desktop
Why do you need the workflow to be owned by the Email Router user? We mostly use a Domain Admin account as a CRM Administrator user where it appears in the CRM User list as "System Administrator". If we need emails from workflows to send using alternate user values, we just configure that within the settings of the workflow rule itself....
ok - makes sense.. so I can have the workflow owned by the crm admin account... but yet set the "from" in the workflow from the email router user id... and publish it...
am i correct?
Yes, with the caveat that the Email Router User account should be setup to send and receive using the Email Router (rather than Outlook).
