So I have 2 entities: Cases and Appointments (a customized activities that is associate with a unique case).
I want to create a workflow that check the cases in the system. If any case meets a certain requirement then add its detail into a given appointment. However, as the appointment is associate with a unique different case X, I don't know how to add details or apply conditions from the cases being checked.
I thought about making X the parent case of the cases I want to check but it doesn't seem to help.
I'm new to this, so any suggestion would be appreciated.
It appears that you want to check for certain conditions on all the existing cases ( an not only the unique one related to appointment). If this is tru then you cannot do this with out of box workflows because there is no step which you can use to retrieve/check existing multiple records.
You can either write a plugin for it or a custom workflow activity.

If you haven't written any plugin/ custom workflow yet then it would be little difficult as it requires dev skills ( not trying to demotivate you :) ). If you are willing to try this out then I would suggest to go through below plugin tutorial-

Just to add, there are some community workflow utility which might help you. What is your exact requirement?
I'm not sure how to explain this. I'd just like to create a workflow that can work with different records or entities at the same time. For example, I want a child workflow that check all the cases in the systems again, not just the primary one that the parent workflow is working on, or its related entities.
I know it has been marked as verified but just wanted to include the following to see if this helps.
If you are on CRM Online and if you want a no code solution, you could certainly try creating a flow to get a list of cases (you can filter) and loop through the cases and add appointment record or details to case X.
Now, if the case X is fixed for all, you can hard code that in your Flow
If the Case is X is different, then setting parent case and using that would be a better choice
One last note, you can schedule this flow to run every hour or daily or whatever recurring schedule you need to run this at.
