Purchase Order Approval

Posted on by Microsoft Employee

One of my client need to lock (un-editable) the purchase order after approval for users (user should not change approved purchase order).  Is there any way to set this type of security. Please help me in this regard

    Hello, Syed.

We're having the same issue you reported: we need POA enabled, but we don't want any users to Un-Approve Purchase Ordes.

We've tried disabling the Approval Status field with Field Security, but it's not working: users keep being able tu unapprove purchase orders, even though they have $0 approval amount configured in POE.

We've tested it in GP9 and GP10, tried configuring security on it, and nothing. The only way out seems to be modifying the windows with VBA.

Did you find a solution in GP itself?

You would need to test it to be sure, but I believe it will allow them to edit it after approval, but then it will have to be approved again before it can be printed, etc.

    Take care,

Thanks for your reply.  I have enable Purchase Order Approvals. Plz view the actual scenario:

    1. User enter a purchase order

    2. Other user (his boss) approve the purchase order

After approval of PO any user should not edit/delete the purchase order except approval athourity

    Re: Purchase Order Approval

If you enable Purchase Order Approvals (Setup>>Purchasing>>Purchase Order Enhancements) it will force users to re-approve a purchase order if changes are made.  Not sure if this is what you want, but it would get you close.

    Take care,

    Christina
