Payroll distribution not matching what was withheld

Posted on by 175

My client processes around 4,000 payroll checks a week.  On only 1 of those checks the ssec & medicare withheld does not match what is posted to the gl.

The weekly gross is $500 with a pretax deduction of $50.25 so the taxable gross for ssec & medicare is $449.75.  The correct amounts for each tax is being withheld:  $27.89 & $6.52 respectively.  The distribution posts $24.77 and $5.79 to the corresponding accounts.  The differences are $3.12 & $.73.  The entry is in balance because the expense portion is reduced by the difference.  They have only processed 3 checks in the system and all 3 have the same results.  The checks that were imported as manual checks from the legacy system had correct distributions.

SSEC W/H = 27.89

LIAB EE = 24.77

LIAB ER = 24.77

ER EXP = 21.65

Any ideas on how to resolve this would be appreciated!

    Thanks for your reply Buffy.

My client has 4 employees this has occurred with and I have reviewed several things as a comparison of them and can't find any pattern that would seem to cause this.  Employees are in different departments, nothing odd in posting controls, no likeness in paycodes, deductions or benefits.  I ran payroll reconcile and there's no results.  I can recreate the issue consistently.

I'll let you know if they are ok with investing an additional amount to open and work a case with Microsoft and if anything comes of it.

No.  I had a case going with Microsoft for something else and they said to open an additional 1 for this issue.  My client processes 4,000 - 5,000 checks a week and it only happens to 1 employee.  They do journal entries to correct the distribution.  I'm hoping the problem will stop in the new year.

Is it only 1 employee for your client?

I am having the exact same issue with one of our clients now also.  Did you ever figure out the issue?

The tables are correct.  It's very odd.  The amount withheld is correct.  The 2 taxes are actually posted to 2 different accounts and when I look at the distribution from within Inquiry ~ Check History, the amounts posted do not match the withheld amount.  All 3 checks for that employee had the same results and that is the only employee so far that has this issue.  They are high volume payroll users and have processed over 12,000 checks in the 3 weeks they have been live with GP.  The problem was identified because the totals in the accrual accounts did not match the Period End payroll totals and were going off the same small amount each week.

    Thanks for your help!

    Buffy,

Is it true to say that the system has never processed a pay run successfully? Have you looked at the tax tables just to make sure the percentages are correct? (6.2% and 1.45%). I would also look at the payroll posting accounts to make sure the amount isn't being divided between two accounts. If you zoom back on the transaction from the GL Inquiry window, does it go back to that pay run?

    Kind regards,

    Leslie
