Is it possible to lock the typing of items Number/Description in the line item of a 'PO Entry' on items already defined in inventory?

Hi,

I would like to have some help or hints on the following situation. In version 9.00 of GP would it be possible on the PO entry window to lock the typing of items in the item line for items defined in inventory.

For the time being item can be ordered without being defined in 'item maintenance', any information can be typing in. So looking to lock that field to not allow any direct entry.

Is it possible to used field level security?

And what will be the required field name or details to use? Or is there any other way to proceed?

Any assistance and guidance will be appreciated? Hoping the description of the situation on the issue is understandable.

    Yes I agree with Soma and other replies that Field level security will not work for you in this scenario.

    Field Level Security won't consider the Item Number validation from Item Maintenance window. This is used to set some field level security for users.

    If you are enabling the  "Add Item" option, while entering a item which is not defined in Item Maintenance window, the "Add Item" option is used to prompt the message "Do you want to add this item?" . This is just a alert for users. Suppose if the user click the "No" on the prompted message box, the system not prevent the item number on the line entry. It will allow user to continue their process.

    If you want to prevent the Orders without item numbers defined from Item Maintenance window, create a customization in VBA/Dexterity.

    Yes I agree with Mohammad. I further checked with the field level security and its not applying to the Item Number field as its a required field in the scroll window.

    I guess disabling the field will not fix your issue, there is a workaround provided by Microsoft allows end user to be notified if the item does not exist and will be prompted to Add the Item first, the option is available on the screen menus and called "Add Item", but by default the option is not selected. You might need to take a look into the below article that changes this option to be checked by default, this might help:

    Hi Sergion,

    Yes you can disable the item number field using field security.

    Below is the screen capture for the field level security setup I created for that field. Hope this helps.

    You can not prevent non-inventory items from being entered on the purchase order entry without some sort of customization on the screen. Although, I don't believe it is much of a complicated customization task.
