want to access fields in other entity

Posted on by Microsoft Employee

hey everyone hope you all well <i am facing this problem for quite a while now and i would really appreciate  if anyone could help me here

imagine this scenario where i have 4 entities 1 leave request 2 leave summary 3 employee 4 leave entitlement

each employee have only one entitlement ok

leave request have a lookup field on employee

leave summary is populated with data such as employee name ,age , (entitlement days ,entitlement hours i want it to have entitlement hours and entitlement days that belongs to that employee )  and other field from leave request

first question how can i specify the associated leave entitlement record with the employee

2nd if i do so can i access leave entitlement fields and use them in a workflow to populate leave summary using only the lookup field employee so if i choose an employee i can populate entitlement summary with entitlement days that is in entitlement record entity and is not in employee ?

please any answer would feels good

Best Regards

mr pawel thanks for you very much ,you solution is perfect but i want to add 2 things

1 )you in order to that you must connect the parent employee whith his child and you can do that using a work flow that goes something like Create a workflow that upon create of the secondary record updates the lookup field on the primary entity record.” is the referring to the newly created child record. you can find that in Local Values” in the “Look For” dropdown of the Form Assistance.”

2nd thing you must do the second update step not in the same flow next step but in another workflow because in the same work flow a record for summary wont be created and thus it can't update the fields from leave entitlement

thanks very much best regards hope you are having a wonderfull week

    Hi,

The easiest way would be to do a plugin for that. In your case you want to use fields that are on the entity related to the entity, so it's not possible to populate them using only Workflow editor. What you can do is to have "Entitlement" lookup also on leave summary (and this can be populated automacally in workflow as this field is on related employee) and then create a next step in workflow which will update values on your record using fields from Entitlement (which you now have in a lookup filled in previous step). Of course you don't have to put this "Entitlement" field on the form, so the users will just assume that this is the same record as the one on "Employee" (and in fact it is the same record)

    Regards,

    Pawel
