Automatic settlement of customer prepayment and sales invoice

Hi All,

I have recorded a prepayment against a sales order. I did it by posting a customer payment journal. I checked the checkbox "Prepayment journal voucher" to Yes. And I inserted my sales order order number as payment reference. I can see the prepayment amount on the sales order tab Sell -> Prepayments.

I would expect that when I post my customer invoice and want to record the second payment for the remaining amount I will only see the remaining amount when I make the payment proposal or select the invoice in the payment journal. Basically I would expect the system to settle my prepayment with the sales order invoice. But it seems like it does not? Do I really have to manually settle prepayments?

I have thought of work arounds like having an item "prepayment" and invoicing and settling that and then when I invoice the sales order I can make a negativ line with "prepayment" item and thereby reduce my invoice amount on my second invoice to what would be the remaining amount after the prepayment. But do I really have to make such steps in order to handle prepayments. For vendors it is pretty straight forward.

You have settle both the customer invoice and Prepayment voucher  from All customers >settled open transactions screen to get those settled.  If you want it to happen automatically you would need system modification to mark that prepayment voucher against sales Order so that when sales order gets invoiced it gets settled with the invoice automatically.

    Hello Sam,

Please also check the following posts

    shafeaa.blogspot.com/.../ax-2012-sales-order-prepayment.html

    that exemplifies the prepayment process.

The post is for AX2012 but still applies to D365FO systems.

    Best regards,

    Ludwig

    Hi Ludwig,

This post exemplifies what I already wrote in the beginning of my thread: "I have recorded a prepayment against a sales order. I did it by posting a customer payment journal. I checked the checkbox "Prepayment journal voucher" to Yes. And I inserted my sales order order number as payment reference. I can see the prepayment amount on the sales order tab Sell -> Prepayments."

My issue is that I want to automatically settle it with this sales order during/after invoicing which it seems is not possible in standard D365. Do you have suggestion other then extension? As for work around I have already described one options.

I am very interested in whether the workaround is the only way to generate customer invoices for prepayments as I am currently working with a client who receives a deposit for every order. Is this discussion still ongoing?

    Hi Sam

There is a method of automatically settling the prepayment against the Sales order when it is invoiced

    1. Create a prepayment journal and post as normal

    2. Use the Sales order > Invoice tab > Settle transactions to settle the prepayment against the Sales order

    3. When you finally Invoice the Sales order it automatically settles the prepayment amount against the Sales order Invoice

The prepayment amount is also shown on the Invoice document with a remaining balance

If required I can send you screenshots of the process

This discussion is ongoing indeed, Liese-Marie Heyns. Currently with my Swiss customer I use Czech Advance invoices.

For August 2019, they promise to release the Armanino Billing schedules as a part of the core product, a dream coming true. Hopefully then, in August-September 2019 we will close this discussion forever.

I do everything in the instructions but the PrePayment button on the Sales Order stays greyed out.  Any advice?
