Suppress Empty Calculated Field from Report Writer Body Section

Posted on by Microsoft Employee

Hi,

I am customising a report in Dexterity and I have the following scenario where in the Body section I have a Calculated field that sometimes contains a value and sometimes not.

When it is empty I would like to suppress the space taken by the field so that more Items can fit within the body section. (Refer to the screenshots below). Note that I have tried the option to Hide When Empty option but it is still showing up / creating a blank space.

Thanks in advance

RE: Suppress Empty Calculated Field from Report Writer Body Section

    Hi Andrea,

If you were to use a Word Template this would be easier. The 80 character limitation only applies to calculated fields. For instance, the item description is a 100 character field. If you use the actual Item description field, the whole thing will print. Word Templates would wrap the field for you. In Report Writer, consider using additional footers to add comments. Take a look at the SOP Blank Invoice in Report Writer and you'll see how if a calculated field is empty, you can suppress the line. Harder to do, but it is effective. What type of field are you using for the field containing the value?

The first issue is I have further to your reply is that the font is already the smallest I can use in terms of readability. Secondly the values in the calculated field (i.e. the one containing numeric values) can vary from one item to another and they can be empty also as already stated. Thirdly hen there is also the limitation that Calculated Fields have, that is they are limited to 80 characters maximum, as you can see I cannot do much with what you proposed.

Is there a possible way where I can create a calculated field which grows according to the text it contains ? Like a multiline text field i.e. it can be a one liner up to as many lines required to contain all the values passed into it.

Thanks in advance for your help.

That is not possible with Report Writer - Report Writer is a single pass report writer, which outputs data one line at a time and has no chance to revisit previous lines for layout adjustments of any kind. What is possible however is to shrink the field length and/or user a smaller font to allow more fields or text to fit on your report. The way I test reports like these is to enter large values in the fields and play with the width of the field on the report until I can get it to fit the data properly without wasting space.
