Document Received date - Purchasing

Posted on by 285

Every month we pull a report of applied transactions from Dynamics.  The report contains the Document Date and the Posted Date.  These dates are used to calculate how long it took for us to pay an invoice.  Managers are using this information as a performance metric, but it's not a fair metric, as the date we receive the invoice could be well after the Document Date.

Does anyone know if there is a place in Dynamics to record the date the document was received so it can be used in the report instead of the Document Date?

Thank you in advance.

You could check the field "Date Invoice Paid Off" in Payables Transaction History table. This date captures the date on which the invoice is "fully" paid off. If an invoice is paid in parts, this field would still be empty till it is "fully" paid off.

You could take "Document Date" and "Date Invoice Paid Off", then analyse the time duration.

    Hi,

If you don't use it for anything else, you could use the terms discount date. If you don't actually get a terms discount, it won't mess anything up. You've also got the Dex_Row_TS. You don't have access to this field, it automatically updates every time the document is modified. So, it will be the date the record was entered if you never modify the record. That's the date you want, but if you regularly edit your invoices, the date will be wrong. You could use the 'Description' field on the Transaction Entry screen, but that is not the correct data type. If everyone puts it in with the correct format, you could possibly use it in your report. If you can use string fields, you could also use the PO number field.

    Kind regards,

    Leslie
