How to link Accounts with Contacts during data import?

Posted on by Microsoft Employee

As the title says,

I'm looking for a way to automatically link contacts informations with accounts during data import. We are currently working on a virgin database in Dynamics 365. We will import all our Accounts and Contacts informations from different databases to a single one in Dynamics 365.

However, when testing the import feature in Dynamics365, it creates Accounts and Contacts from the CSV file we have, but we can't make the newly created accounts linked with the also newly created contacts.

So, is there any way to do this quickly without having to link manually all the accounts with the good contact after the import is done?

Hope someone can help us with this,

Derek

    Hi Joyce,

Since it is an old thread, I would recommend you post a new question for it.

Ohh yeah, I wasn't looking for a column with such a name to link Accounts with Contact. I was more looking for something like ''Account Name'' or something else, as we don't use Accounts as a Company here. Account name is the same as the Contact name, but there wasn't any space in the Contact import template to put complete name that would match the Account.

Thanks a lot for your help though, it's very nice from you to help us with this issue.

Doesn't the 'Contact' import template have the Company Name column in it?

I just went to a fresh install of Dynamics 365, went to Contact entity, and downloaded the Excel import template.  Column I has 'Company Name' which should map to the Account name.

    Hi Chris,

Thanks a lot for you response ! But the problem is not solved.

After I imported my Accounts with all the fields matched with my CSV file. When I import Contacts informations, there is no such field for either Account Name or Parent Account in the Dynamics365 account import template. I can only find this field when importing accounts. The fact is I don't want my accounts to have a Parent Account, I want the new Contacts linked to the previously imported Accounts.

In the import tool, when I select the CSV file to import Contacts, there is no Dynamics field that would link the contact to the account. The closest I found was ''Contact (primary key)'' field, but I don't think it would really link the CSV field ''Parent Account'' to the good account in Dynamics.

Assuming that you create the new Account records 'before' you create the contacts, you should be able to set the parent Account for a contact by using the Account name (Customer Name or parentcustomerid field) during import.   This also assumes that your account names are unique.

If they are not unique, you may have to import the accounts first, then export the accounts to get the GUID for the new accounts, then use those guids in the parentcustomerid field for your contacts.
