Address Book auto change on Customer page

Dear Experts,
 

In D365FO, I encountered an issue where the "Address book" field is initially empty, but somehow it is automatically updated with a value after a few days.

This causes these customers to appear in POS and creates conflicts with other systems. Could you please give me some advice on what might cause this issue or how to prevent it?

    Out of the box, there is no logic that will change the address books on customers after a few days. Maybe there is an automation in your environment that updates the address books? 
     
    Are the values the same for all customers? Are the address books also filled on vendors or other parties? You can check if there is e.g. a batch job running or a Power Automate flow that updates the information. Or maybe it is added manually by a user?

    A few questions:
    1. Do you have a few background processes like Retail/Commerce Scheduler jobs running?
    2. Any batches or Dual-write integrations running in the desired environments?
     
    Possibilities:
    This issue relates to party and address book synchronization in D365 FO. When you create a customer or a vendor record the party record from the Global Address book is created simultaneously.
    The address book field determines which organisational address books that party is linked to, controlling visibility in different legal entities or channels like POS. Field being empty indicates empty fields during the address book creation possibly because the Address book field was not include in the import file. Any Retail/Commerce scheduler jobs or batch jobs or dual write processes could be the possibility to update the address book fields.
     
    Suggestions:
    There is a batch job by the name DirPartyUpdateAddressBookNamesController.updateAddressBookNames that must be running in a scheduled manner.

    Please check whether any batch has been configured to update the address book values and also check the modified fields as well to identify who has done the changes.

    Hi,

    The Address book field gets auto-filled by background jobs, integrations, or POS sync after customer creation.

    To prevent it, enable database logging and check batch jobs/integrations to identify and control the update source.

    My dev team had discovers that the Address book field on the customers form link to the AddressBook field of the DirAddressBookParty, it was modify by RetailServiceAccount. Base on my dev team, this is a standard Microsoft account, but they can't figure out how it modify the field.

    If a record in D365FO shows "Modified by = RetailServiceAccount", it means the update was performed by a background process, integration, or commerce service running under the Retail/Commerce service account rather than by an interactive user.

    Did you checked the batch jobs or any customization for this.

    I don't think we have any standard batch job or process and I think this is causing because of the custom batch jobs.

    Please check with your internal team, whether they have any customization on this.

    Hi @NN-03060352-0, Make sure that, the store's default customer record is having a valid address book attached to it and run 1010 job. Then the customer records that are created iN POS will now carry the address book value automatically during creation and it will not be blank.

    I have double checked standard coding and could not find logic that would allow to run in background and get the address books updated automatically. Have you been able to find all batch jobs that runs with the RetailServiceAccount user? If so, can you check which class is being used for the batch jobs? There should be one with the class RetailCdxChannelDbDirectAccess. In case you see another name, this can be a customization. Please share the name of the object, so we can verify it along with you.
    I asked before if the value of the assigned address book is the same for all customers or is there any difference in values. Can you answer that question?
     
     
    PS @S Gopi Krishna, the question is not about how to move customers to POS, but customers do get automatically an address book assigned which is not desired.
