Changing Item Posting Accounts - Changes not sticking

(0) ShareShare
ReportReport
Posted on by 15

We have several items that we need to change the posting accounts for that specific item. We don't want to change for the whole item group that the item is associated with and we can't setup new item groups at this time.

The issue we are having is that we set the new posting accounts for a specific item but then a couple days later it will revert back to the original setup. Is there a way to see who is changing the posting accounts? Additionally, what would happen if we just deleted the group posting level and only kept the item level? We thought this was a fluke or one off but it is happening a lot so we are trying to identify what is causing the issue.

Below is an example of an item we adjusted. This was to the Sales Order - Issue category and the first image shows the posting account update we made Monday. The second image shows the same item and posting account as of today.

    Hi Lwebbie,

It is possible to setup a database log on this table to find out which user is changing it.

If you delete the group level, probably the same user will then add the group again?

So, start with the database log and also review the security who might have access to change these settings.

    Hello Lwebbie,

As Andre mentioned the database log can help you here.

About the issue that settings seem to come back:

Do you know if you have some kind of 'master' setup that is ensuring that all companies are having the same posting configuration? In other words, do you know if there is an adjustment that could be responsible for this?

    Best regards,

    Ludwig

    Andre,

Thanks, I will get with IT to get a database log setup.

Aside from a user re-adding the group level posting, are there any other repercussions we should be aware of before removing the group level posting account?

    Thanks,

    Liz

I don't but that is a great question. Where would I look for a master setup?

I was thinking it was a user since they weren't ALL changing back to the original setup but it is worth looking into.

    Hello Lwebbie,

One of your system admins should know whether a system modification for master data management has been implemented that might be responsible for what you see.

If this is not the case and a user did the change then you should possibly rethink and reconsider the rights different users have to ensure that this does not happen again ;-)

    Best regards,

    Ludwig

One would assume one of our system admins would know but they seem as baffled as we are. ;-)

I will get them to setup a database log so we can see if a user is doing and go that route to start.

    Thanks

    Hello Lwebbie,

Couple of things you need to check internally first and then confirm.

--- Whether is this really required to maintain a separate main account 20325 for the item "100125993" or it should be always posted based on the item group for this item in main account 13110?

--- May be somebody is changing / removing the item from the posting profile setup (as you shown in the 1st screen shot) to post this in main account 13110 as per the item group; instead of 20325. Which means; there might be a 'Decision conflict' or 'Communication gap' in the organization which tends to such activity.

--- Review the roles and privileges assigned to all the users in your organization and make sure all roles and privileges are assigned as per the designation / position of each users in your company. So, that only those users can be able to maintain the posting profile setup and no other users should do the same activity other than the designated users.

--- Enable database log only for master data to track the changes made in master forms. Do not activate the database log for transaction data as it may slow down your system performance.

Additional suggestion: - You can further check with the developer to minimize the risk of such activity by considering below points.

--- Simply 'Cut' all setup sections from each module in AX.

--- Create a separate module named as 'Global setups'.

--- 'Paste' all module wise setups in the 'Global setups' section.

--- Create a new privilege to access this 'Global setups' section and assign this privilege only to those users who will be responsible to maintain this (other than 'Admin' users of course).

Doing this; no other users will be able to access the setup sections in any modules in AX.

    Kindly check and update us.

    Best regards,
    Sourav Dam

We have identified that it is not a user and is a system thing. My IT team is working to see if they can isolate what is causing the issue. The odd thing is it doesn't happen all the time so we may just need to add the item level posting account and then remove the group one to hopefully remove the confusion. We are testing this out this week.
