Dynamics 365 App for Outlook (Lightweight) - Can't set custom email activity fields from within the app panel

Posted on by 65

Hello D365 Community,

Background
Our users like to set the type of emails we send to our customers, therefore our email entity has an "Email Type" option set field

Issue

With an email message open in outlook, I click the D365 icon in the ribbon. This opens the right-side panel which displays the D365 customer record. Here's my problem: I want to be able to set the 'Email Type' field from inside the panel before I click 'Track'. We want to do this because tracking an email in Outlook produces an email activity record in D365, and we'd like to have the appropriate 'Email Type' set.

Reason

When users send bulk emails, we like that the track function creates email activity records in D365, but we want to avoid going back to each email record to set the 'Email Type' field

Question

Is there a way to do this? If not, are there any good workarounds to achieve this?

Thank you!

Thank you Srihari for the insight. I'll explore alternative means to achieve this. Looking forward to future enhancements to this app.

    Hello,

App for Outlook is currently single message bound, so you'd have to open it in the context of each email and then open the tracked D365 record to update the custom field. We are working to make it available on multiple emails so that this type of operation can be supported. We do not have a good timeline for it yet.

One possible option is to define a Flow that fires when an email activity is created, for the custom field to be updated automatically based on some combination of subject/sender etc. That may not cover all your scenarios but that is an option.

    Thank you,

    Srihari
