Dual Approvers in Requisition Management

Posted on by Microsoft Employee

The hierarchy is set up using specific users, not roles. They now would like to have an alternate approver set up. They do not want the users to select the approver because they need the alternate to step in whenever the regular approver is out unexpectedly and requisitions may already have been submitted. I believe this can be done by setting up a role and assigning the 2 approvers to it. Each would be notified and have access to the submitted requisitions, correct? Can I have a role while all other positions are specific users? Are there any gotchas I am not considering?

Thanks!

    I did got your point Nola, and trying to find alternatives/

    The extended approver does give the approver an ultimate authority to gran any requisition for any user below them in the hierarchy. Although, I am not quite sure that the person with an extended approver authority receives a notification.

    They want absolutely no intervention (like having to go in and actually delegate anything). Would the extended approver be able to go in and just grab anything that is waiting for the alternate to approve? Will the extended approver be notified?

    I am thinking that, in order for it to work the way they want, the 2 approvers need to be treated as one in the same, and whoever can grab the stuff will.

    Thanks!

    Apologies for misunderstanding your inquiry Nola.

    When it comes to delegation in requisition management, delegation is a common case. Regarding the point to create a role, you may use the predefined role (requisition approver or purchaser), you can absolutely have specific users and roles at the same time in the approval hierarchy. Although, I have never tested this option.

    When it comes to delegation, It could be managed by considering one of the following options;

    1. Using the extended approver option
    2. Change approver (which you already mentioned above)
    3. Replace level

    Further details are discussed as follows; Requisition Management – How to Manage Delegations

    Although, your scenario deserves a test.

    Your feedback is highly appreciated

    Thank you for the response. I understand about choosing approvers. What they want is 2 approvers both being notified at all times. So far the only suggestion I have gotten involves setting up both approvers, one as a default. That, however will require that the users select the alternate if the default is not available but they will not know that in advance so documents may have already gone to the person who is not in.

    I am wondering if creating a role and assigning the 2 approvers would result in both being notified and having the option of approving. If so, can I have a role in the hierarchy if all other slots are specific users?

    Thanks!

    Nola

    The ability of the users to change their approver is setup on the user web part. Follow the steps below to prevent users from changing their approver;

    1. On the top level business portal website, click on Site setting
    2. Go to Requisition Management
    3. User list
    4. Choose a specific user, and then click modify
    5. There is a check box called "Change Approver". Uncheck it  if you don't want to allow the users to change their approvers.

    It is already set up with specific users, not roles,  however they want a backup approver for the regular approver but they do not want the users to have to select an approver as they do not always know when the backup person will need to approve.
