unit of measure

Hello,

We sell our liquid solutions in various unit of measures such:

Gallons

Pounds

Metric Tons

Kilograms

Our base unit of measure to track how much is in our warehouse tanks is by Gallons.

However, when we sell in a UofM other than gallons, the conversion rate to base U of M will vary due to temperature, density etc. As a result, the exact amount of gallons to deplete from our tanks can vary. For example, if we sold and invoice the customer on 80 pounds of a solution, on one invoice it could be about 8 gallons that needs to be recorded as depleted from on hand inventory, but on another invoice, it can be 8.5 gallons that we need to record as depleted from the tank.

Currently, in GP, it only allows for setup of Unit of Measure Schedule only allows one value in the Equivalent. In our case, the value on the conversion will vary from one sales transaction to another upon fulfillment. What options are available to allow this flexibility of UofM conversion?

If it was only based on temperature you could set up a U of M schedule based on temperature but since the number of gallons is based on a number of variables I do not see anyway to do this without some kind of customization.

It sounds to me as if your base UOM should be pounds.  It appears that most of your selling UOMs are weight-based.  Do you have a lot of customers that buy in gallons?  Could you get them to switch to a weight-based measure?

Complex but I have done this!

First, you need separate UOM schedules for products based on standard specific gravity.  For example, alcohol will have fewer pounds per gallon than heavy crude oil.  The specific gravity UOM schedules should be based on a normal temperature.  Assign the correct UOM Schedule to each item.  One UOM schedule will not work for all liquids due to variances in the specific gravity.

Second, you need a window that will change the UOM conversion rate in the sales order from the normal conversion rate brought in by the UOM schedule to the actual conversion rate based on temperature at time of sale.  We did this with an extender window and a trigger.  See, in the sales line item, the base UOM and sales UOM and ratio between them are all recorded in the line item.  Changing from gallons to pounds is done by associating the item with the nearest match based on the specific gravity.  Then, when the sale is made in 90 degree temperature or 30 degree temperature, the accurate SPg ratio based on current temperature is entered into the window and used to modify the conversion factor in the sales line.

Inventory is not relieved until the order is posted and it will be relieved in the base unit of measure calculated by taking the quantity sold in the UOM sold and applying the FACTOR RECORDED IN THE LINE ITEM RECORD!

That's such a good one Mr. Whaley

    Complex but doable

I have slight variations of this running currently at 2 different sites.

    Good show Richard!

We have a similar situation with metals. They buy in pounds and deplete in linear feet.

    Kind regards,

    Leslie

The metals variant is one that I put in in NY.  I then expanded it to fuels affected by temperature as well as specific gravity
