Almost at storage limit

Posted on by 602

How can I find out what is taking up our storage?  We are 365 online and are suddenly at 89% of our storage limit.  How do I find the cause of the sudden increase in storage usage?

Thank you!

    Hi Barbara,

You can ask if users have uploaded heavy files to Notes/Attachments a day or two ago as a quick check, maybe.

Also, you can try using Advanced Find to search on Notes entity having File Size greater than 1 mb as shown below -

    Hope this helps.

This is very helpful- thank you!

I see the Annotation table is using 5x more space than the other tables, which makes sense.  I'm wondering what has caused the sudden sharp increase in storage.  Is there a way to determine what process has done this?

    Hi Barabara,

Here's what you can do - You can check Admin Center of PowerPlatform if you're the System or Global Administration. Previously, Organization Insights Managed solution was available on AppSource, but it has been taken down now

You can check my short blog on the same - dynamicscrmclub.wordpress.com/.../cds-for-apps-analytics-instead-of-organization-insights-power-platform-admin-center

Few things that might have bloated your storage are -

    1. Email Attachments being tracked to D365

    2. Audit History

    3. System Jobs of plugins/workflows and Async services that have been collecting over several months.

Hope this helps you to begin identifying the problem

Few common tables to identify in the above PowerPlatform are -

    1. AsyncOperationsBase - System Jobs table of completed Async Operations

    2. AuditLogBase

    3. annotation - Attachments

    Hope this helps!

Do you have organizational insights installed?

That should tell you where the bulk of the data might be?   Are there a lot of attachments or is alot of auditing turned on?
