Import Data - Contacts and Contact persons - Finance and Operations

Ok, I think I understand import "Customers" and "Venders". I have read this data lots of times and tried it.

I have tried the download and edit in excel which is great for tidying existing data and adding the odd bits.

But what about importing contacts and contact persons in to the system (via excel?). Contacts and the contact persons within a B2B relationship, some of which may have been customers in an old system and who may become customers again in the future, how do I import 10,000 of these accurately? I guess it must be simple.

    Hi Crikey

You're right, it must be simple :-)

Best approach here would be the following:

    1. Import customers and vendors first (once that we ever customers and vendors - with B2B relationship). Make sure to have Contact column filled in in excel templates provided by data migration wizard (if you know primary contact).

    2. After import, you'll see contact stubs created by import of customers and vendors. Please, delete those using Edit in excel on Contact list and deleting contact stubs created by data migration in excel.

    3. Search for and run Create Contacts from Vendors and Create contacts from Customers reports

    4. These reports will go through customer and vendor records created during data migration and:

    - create associated contacts (Company and Persons) based on customer and vendor information and

    - link them together by setting business relationship which you can see by opening created contact and clicking on navigate Customer/Vendor/Bank Account in Navigate tab of contact list.

After this edit contact list in Excel using Edit in Excel and add remaining contacts (the ones without business relationship). Suggestion here would be to do this in 2 phases:

    - first import companies so such company contacts get contact numbers in Financials

    - import people related to companies - you'll need contact companies if you'll want to associate contact persons to them.

You'll need to transform and adopt the list of contacts from your legacy system to fit the structure of contact list in Financials. Pay special attention to:

Contact Type: can be person and company, company contact can have multiple person contact related to it.

Company No.: if you set Contact type to be person, make sure to Company no is filled in otherwise these will be orphaned contacts (without parent)

    Hope this helps

As simple as that, great. Thanks Microsoft! :-(

ikolectric,  Thanks for the detailed explanation. I can almost feel your pain..

I will get back to you  with my success, maybe next month......

I did sort of get to this whilst playing. But then I thought Microsoft would not make it this difficult....... would they? They could just give me access to these two tables.

When I tried it the "edit in excel" the publish would not see the extra contacts I was trying to add. I just tested a few. I will persevere in testing different ways of adding them to the excel spread sheet. It could be an issue in transformation.

    I set the company/person.

    I set company numbers.

On selecting publish, it said "data changes analysed" as if there were no changes to spread sheet yet I had pasted in 10 more records. If I made changes to existing records, they changed and published ok, but just ignored the new ones as if they were not there. Any thoughts?

I am sure more testing will reveal the answer.

    Thanks

Make sure that new records are part of excel table. Just pasting data outside the data won't do the trick. Pull down on last row, last column to extend the table for as many rows as you need.
