US Federal Project questions

Hello All,

This is an urgent requirement for us and I would greatly appreciate any help or pointers on this. 

Requirements: Currently our Federal Client maintains all their records in huge Excel Spreadsheets. They want to port it all over to more modern ways of storing/managing their data and they have advised us that they prefer Common Data Services for the backend and Dynamics Forms, as their preferred front end. 

We did a  proof of concept in PowerApps but they are leaning more towards building Dynamics Forms as their front end, as of now.

 

Here are my list of questions:

  1.  Dynamics CRM seem to have many applications/modules like Sales, Customer Service etc. But this project we are building for our client is very specific. It is a custom, ‘Tracking System’ application  and does not definitely fall under any of these broad business modules like HR or Sales etc. If we have to build small custom applications within Dynamics, which module does Microsoft recommend us to buy? 
  2. As I indicated above, our client wants to have CDS as the backend. Can all CRM applications support and talk to CDS backend custom entities and do they all have Forms that can present/manage the underlying data?
  3. Also, Flows (Power Automate)  is another important feature that we plan to use a lot. I read somewhere that ‘Business Central’ deals with lists and cannot talk to custom entities. So, Is it possible for us to get a list of Dynamics CRM applications/modules that support: CDS 2)  Power Automate Flows and 3) Data Flows?
  4. What is Business Central? Under what category of applications does it fall under? All I see on the main CRM site under the Applications drop down is 1) Sales 2) Customer Service 3)  Field Service 4) Microsoft Project Operations etc. It is very confusing and frankly, very overwhelming and am not sure where to look for what?
  5. The development setup would be that we, as a commercial software development company, would be buying licenses as well and creating all the Forms and custom CDS entities within our commercial/business space on behalf of  our Federal client. When it comes time for deployment to the Government space, what are the things we should be concerned about? Meaning, are there any features (after we decide on the specific module in  point no 1))  that are supported in the commercial business space but that are not supported in the Government Space?  We don’t want to be in a situation where  we do all the development in our company’s commercial  space and when it comes time for deployment to our federal client Government site, nothing works because some features are not available in the government space. Please do let us know how the deployment works and what we should be concerned about when it comes to Information Security.
  6. Would Dynamics 365 forms still be a thing in the future or would it become obsolete? Reason I ask is PowerApps (Canvas or Model Driven) front ends are becoming more and more popular and we just want to let our clients know if Forms can become obsolete in a year or two.
  7. Is it possible for us to get  2-3 lines of description of what each module/application within Dynamics CRM does and what features it supports, with regards to CDS/Flows?  This will help our clients decide, as all these modules/applications are too overwhelming on first look.
  8. Is it true that if we buy licenses for one of these CRM modules (Answer to point no 1 above), PowerApps licenses would be included in it and comes  free?

 

This is a project were our prestigious federal clients can potentially buy 4000 licenses. We have opened service tickets and asked in forums but nobody has given a call back or gotten an answer unfortunately.  I don't want to install trial versions of 20 products like "Sales" etc that the clients don't even care.

I would highly appreciate if we can get answers to the above questions.

    What is the difference between applications listed at home.dynamics.com Vs. dynamics.microsoft.com/ Why don't people recommend  say, 'Dynamics 365 (Custom)' application listed  under home.dynamics.com?

    Thanks very much for your response!   I still have some follow up questions, as I may have not been very clear.

    1) I think my question here was not clear or I maybe missing a point. My question was, even before I start anything module wise, what application within Dynamics should we even buy?  Like, If  my client had asked us that we need to track Sales, I could  have easily advised them to go in for the Sales module within Dynamics 365. But here, I am building a small custom application for my  client that has nothing to do with Sales or HR or Customer Service or Finance Or Supply Chain Management etc. It is just a business process application. If that is the case, what module should we even try out first?

    2) I need the answer to No 1) above to further question this. But If you say the answer to No 1) above is, we have to buy the "Project Operations" Dynamics application, would it support connection to CDS and Flow and Data Flow and all that?

    Basically my requirement is, store the data in CDS entities and show it on  forms within a Dynamics module/application, where the user can view/edit/add data to the underlying CDS entities. That's all it is.

    3) That's great to know! Thanks Adrian! I have one question on this. If Power Platform is supported by all Dynamics applications, why would people out there still prefer to use Dynamics Forms for the front end and not say, a rich Canvas app (pointing to CDS) or a Model Driven app as their preferred UI to edit the underlying data?

    4) Sorry, I am very new to Dynamics. I think I am referring to the menu options listed under "Applications"  menu on this link.  I don't see "Business Central" here. So, I am a bit confused what Business Central is as compared to these Applications.

    Hi RamPrah.

    To answer your questions.

    1. Start with a small number of modules and then build customisations on top of them.
    2. Dynamics 365 applications, such as Dynamics 365 Sales, Dynamics 365 Customer Service or Dynamics 365 Talent, use the Common Data Service to store and secure data used by the applications.
    3. The Power Platform works with all Dynamics 365 applications that use the Common Data Service to store and secure data used by the applications.
    4. You can find information on Dynamics 365 Business Central here.
    5. Discuss this with your Government client. Every Government client is different.
    6. They will still be a thing in the future. You can use them in parallel with the Power Platform.
    7. Navigate to this link > click the Applications tab > select the application you want to learn more about > click Overview. A general description of each application is provided on each overview page.
