Posted on by Microsoft Employee

Is it possible create a field that will automatically change based on a different field using a calculated field.

I am trying to get this results..

If the expiration date has passwed, the new field will change to Expired. I dont want to change the status of active/in-active, I want Expired or not expired

Actually I was able to use a calculated field to make this work.

What I did was created 2 new fields. One equal to todays date. Then made the caluclated field as todays date > Expiration date, then field equals Expired

Create a workflow to achieve your functionality. In the below image, in the highlighted red box, enter your condition to wait and then in the update, set the new field as Expired. And, by default initialize that field as 'Not Expired'.

    RE: Calculated Field

We cannot use calculated field for this functionality, because we cannot get current date for comparison within the calculated field conditions.

    JavaScript could be used instead.

Again problem here is that the field would get updated only when this particular record is opened by the user, using the browser.

This will have an impact on the dependent entities, if they rely on this 'Expired' field value for further processes.

If this is the case, then we should update the 'Expired' fields in all the records of this entity type periodically (update frequency depends upon the requirement).
