Create Quote including Project Information

Posted on by 55

Hello,

I'm struggling to understand how a quote incl. Project Details like Line Items, Estimates etc. can be created? I'm am able to display the total price but no details. Via the XML structure I am not able to access Project Line Details in the "Quote" template.

    Hi Sebastian,

Correct! It only brings the totals really. No taxation and list of 'items' so really thought to work with it.

As far today goes, your options are:

    1. Use the limited OOTB one and maybe just add a Logo and some other simple fields (this can take time and it is limited)
    2. Use an ISV that simplifies this for you so you can build more into it, but licensing can be a problem
    3. Integrate with another, like ERP, so the 'other' system handles that for you, like Business Central, QuickBooks and others (Power Automate can be used here)
    4. Create a Flow that builds and pulls in all the details you want

These are the options today as I see it.

    Hope this helps.

OK, there is one thing I am not sure about yet: When using a Word Template via the Out-of-the-Box-Export, I can't get all the Project Line Details via XML into this document, right? I have to you Power Automate? Because, to me, it seemed depending on which Object Type I choose during the export, I can either have the necessary account and billing details OR Project Line Details, but not both of them together in one document, right?

Hi, you can use the OOTB Export to PDF button under Quotes.

But, it is very simple. You can updated that but it can PAINFUL. So use it to demonstrate. They might offer better ones in the future!

Or you can create a Power Automate Flow that generates a nice Quote document.

    Hey Juan,

Thanks, but that's the part that I know. What will be the next steps? How can I get all those details in a quote document for a customer?

    Regards,

    Sebastian

RE: Create Quote including Project Information

    Hi Mark,

When you create a QUOTE that is the header that shows whom the customer is, contracting unit, and currency:

Quote Lines ‘tab’ is where you actually link one or more project lines to this QUOTE. You can hit + Add New Quote Line to create a new one:

Very important. When you set your Quote line, in case you wish to link more than one project to the same Quote Line, you must choose Selected project tasks only, as below:
