Workflow change to utilize "Role" for specific users versus hard-coded users

Posted on by 65
Hello everyone, I have a proposed vendor changes workflow which is associated with vendor tables, is that possible to define a special role to grant the specific users only to utilize this workflow? Thanks.

Thank you all so much for your reply.
@ZvikaR: I want only certain users to be able to APPROVE the workflow.
@Waed: I cannot find what you mentioned menu items names "YourWFApprovalApprove && YourWFApprovalReject".

I am trying to see if I understand your question

Do you want only certain users to be able to SUBMIT the workflow for approval?
or you want only certain users to be able to APPROVE the workflow?

    Hi Community member,

Yes, you can do you know the WF type name that you used? Is it custom or standard?

1-You can search for the menu items names that related to WF type name: It would be YourWFTypeCancelMenuItem && YourWFTypeSubmitMenuItem

2-You can search for the menu items names that related to WF approval name: It would be YourWFApprovalApprove && YourWFApprovalReject etc.

    Thanks
    Waed Ayyad

Thanks Waed for the detail steps, but unfortunately I don't have access to our development environment, still trying to look for whether there is a workaround by using the "Security configuration" in D365.

    Hi Community member,

From WorkfowType and WorkflowApproval  names for the WF,

Example:  SalesTable form is connected to RetailSalesLineWFType type then you should have the following menu items:

WF Approval: RetailSalesLineWFAppr is connected to RetailSalesLineWFType  WF type

    Thanks,
    Waed Ayyad

    Hi Community member,

You can use security roles, by assigning the Workflow menu items to only the eligible users. You can create new role, new duty, new privileges for the workflow menu items and assign these privileges to the duty and the duty to the role. Give it try and tell me if you want any help.

    Thanks,
    Waed Ayyad

You can check roles, Privileges, duties that give access to the vendors form and approval.
