Journal Entry Document Numbers

Posted on by 3,482

Hi:

Yesterday, in our sandbox, I posted a Document Number in the General Ledger journal of fourteen lines.  The number was G00002.

When I went in today to post a similar entry, the Document Number had increased to G00030.  Although the No. Series setup window says that G00029 was the last used Document Number, G00029 does not appear in General Ledger Entries.

That I know of, no one else conducts posting in the sandbox.

What could have caused this "disparity" in Document Numbers?

Thanks!

John

    RE: Journal Entry Document Numbers

Hi, There are several possibilities for this.

Please make sure Manual Nos. is not enabled, Increment-by No. is 1, and no other number series line is set for the validity period.

Most importantly, please make sure that this number series is not shared with other features.

    Then try again.

PS: When you need to renumber the document number, please use the following function.

    Hope this will help.

    Thanks.

You can have journal batch lines that have been registered and then deleted. That is a typical cause of what you experience.

But the ledger entries are uniquely identified by a ledger entry no. and that is what guaranties no holes in the transaction rows. So your audit trail will not be broken even if you have a step in your document numbers.

Does the number series increment by 1?
