OLE attachment migration issues

Hi,

I am migrating old ole notes from GP2013 SP2 to GP2015 R2.  First I tried for sample of few ole notes but while extracting some not extracted successfully and same thing happened  while importing also.  Please find the export and import log files for your reference.  Kindly help to fix the following issues or points

1. How to fix the unsuccessful export and import ole notes.

2. How to identify the documents from attachment since name will not give any details

3. Size of the old ole notes is more than 275 GB, Can we view the old ole notes without migration.

4. What are the type of files can be migrated, what are the types of files can not be migrated.

    Noushad,

    You may end up be better served by opening a support case due to the complexity of your issue.  We could also provide you some scripts and steps to convert OLE hexadecimal values to NOTEINDX values and then return the tables where each of those notes are pointing.

    That OLE button was enabled using a Dex.ini switch if my memory serves.  It was used to allow people who were maybe in the process of migrating notes to have access to both the OLE Note and Document Attach functionality.  It was not recommended to operate with that switch enabled for long because you're ultimately just making more OLE notes that need to be migrated to Doc Attach anyway.

    What I can tell you from this is that the note with NOTEINDX 1607701.00000 corresponds to a note that simple says "OLE Link Present".  That is different text than the note in the screenshot you provided.  Since you do not see anything in the OLE Container window I would say that the document you have pulled up does not have an OLE Note attached.

    I guess I'm not sure what you'd be looking for in terms of updating things from the backend.  We do not have a tested/supported method for you to edit the actual OLE files.  If you don't want to bring certain OLE notes forward you could either remove their record from the Notes Master (SY03900) or remove their OLE note files I suppose.  Other than that I'm not sure what sort of updates someone would look to do in the backend.

    I can find the below OLE Object button wherever there is ole attachment before migrating by using OLE notes migration utility. But I can find only blank screen with File and Exit options in the menu.  What is the use of this  OLE Object button

    My objective was to view the old ole notes by using this button since size of the ole notes is more than 275 GB and start using new document attachment functionality for new attachment only.  Kindly help me if any possibility like this.

    Even if use migration utility we are getting error for some ole files so kindly provide the solution for this issue.

    Can we update ole objects from backend.  Please provide you have and document or scripts for this process.

    It does say "potential file type".  You may need to find out what NOTEINDX 1607701.00000 is tied to in order to know if it really is an Excel file:

    SELECT * FROM SY03900

    WHERE NOTEINDX = 1607701.00000

    From there I suppose it could be related to the version of Excel installed on the machine where the Migration Utility is running.

    You can certainly keep your OLE note files after the upgrade, but there won't be a way to view them within Dynamics GP.  I'm sure someone in the community could come up with some sort of customization that uses Contain.exe to be able to read them, but it isn't something in the core product going forward from GP 2013.

    Hello P,

    Let's see if we can address your questions in turn:

    1. How to fix the unsuccessful export and import ole notes.

    A: This is a tricky question.  The solution will depend on the nature of the error you're getting.  Sometimes you get errors because you don't have the application associated with the attachment file installed.  For example, if the tool is trying to export a PDF I've seen where the migration tool requires access to the PDF writer (e.g. Adobe).  Other times it can fail if you used the link option when creating the OLE note, which only stores a pointer to the file in the OLE file, but you've moved or deleted the file or folder that link points to.

    Another example I see in your information above is:

    This tells me that an OLE note file "C:\Program Files (x86)\Microsoft Dynamics\GP2015\Data\EXPORT\MGCNT\0\00189661" exists, but it doesn't have a corresponding note (1611361.00000) in Dynamics GP, specifically the SY03900 table.

    2. How to identify the documents from attachment since name will not give any details

    A: The name of the OLE file is actually the hexadecimal version of the NOTEINDX value I'm sure you've seen in almost every Dynamics GP table.  I like to copy the export error file into Excel, use the feature to split the data to columns to get that OLE file, then copy just that column of hexadecimals to another spreadsheet.  Once there you can use the HEX2DEC() function in Excel to perform the conversion.  For example, the first record above has a value of "0002C60B".  If I use that function in Excel it translates to "181771".  You'll need to add some trailing decimals to get it in the format of a NOTEINDX, so it would really be "181771

    .00000". If I After that you'll need to search the GP database for those values.  You could also look at the SY03900 (Notes Master) table to see if that NOTEINDX has some note text that gives you a hint as to what it is tied to.

    3. Size of the old ole notes is more than 275 GB, Can we view the old ole notes without migration.

    A: There used to be a Dex.ini switch to allow you to use OLE Notes along side Document Attachments, but that is nothing that is technically supported.  It is in your best interest to migrate in order to take advantage of the attachment backup functionality that is a big benefit of Document Attachment over OLE Notes.  You will also have a centralized note repository rather than each user having their own subset of files, which can be hard to administrate.

    4. What are the type of files can be migrated, what are the types of files can not be migrated.

    A: We do not maintain a list of file types that can and cannot be migrated.
