How to free up the Dynamics 365 file storage even after deleing all the notes attachments?

Hi,

I need a help in freeing up the files storage of our D365 instance. I have already deleted the notes attachments from file storage but the overall storage is still in GBs. How to remove these items mentioned in below image (for example: activityparty-Analytics etc.).

    Deleting Notes attachments is only one part of the storage cleanup process. The entries you're seeing (such as activity party, analytics, etc.) are Dataverse tables and system data, which are not directly related to Notes attachments and generally can't be removed in the same way.

    Before deleting anything further, I'd recommend identifying what's actually consuming the storage from the Power Platform Admin Center > Capacity > Dataverse reports. This will help determine whether the usage is coming from activities, audit logs, analytics data, file columns, or other system tables.

    Also, if your goal is to reduce Dynamics 365 file storage usage, deleting attachments may not be the best long-term approach because the files are permanently lost. A more sustainable option is to move attachments outside Dataverse while keeping them accessible to users.

    Solutions such as Attach2Dynamics allow you to migrate Notes attachments and documents from Dynamics 365 to SharePoint, Azure Blob Storage, or other supported cloud storage platforms. The files are replaced with links inside Dynamics 365, so users can still access them while significantly reducing Dataverse storage consumption. This lets you reclaim storage without sacrificing historical documents or business data.
    In short:
    • Review the Dataverse Capacity reports to identify the actual storage consumers.
    • Be cautious when deleting system data tables.
    • Consider migrating attachments to external storage rather than deleting them if storage optimization is your primary objective.
    This approach typically delivers much better long-term storage savings while preserving access to important documents.

    The -Analytics entries you're seeing (activityparty-Analytics, msdyn_bookingtimestamp-Analytics, etc.) are Dataverse Search index files, not note attachments. That's why deleting notes didn't move the needle — you were cleaning the right thing, just not the thing causing this.

    What you can do:


    1. Go to Settings → Administration → System Settings → General → Configure Dataverse Search and remove tables that nobody actually searches on (scheduling tables, system tables like bookableresourcebooking, etc.). Microsoft rebuilds the index over time and storage for removed tables should reduce — though there's no guaranteed timeframe, the platform manages this internally.

    2. If you don't use Dataverse Search at all, you can disable it entirely. Same caveat — Microsoft handles the cleanup on their schedule, not yours.

    3. The Solution entry is separate — that grows from unmanaged customizations and solution layers. Clean up unused unmanaged solutions where you can, but some solution metadata is platform-required and can't be removed.

    Bottom line — your notes cleanup was correct, it just addresses a different storage bucket. The Analytics storage is search index overhead managed by Microsoft, not something you can directly delete.
