Stocked to Unstocked

Posted on by 15

Hello,

currently all items in our system are stocked items.  How do we change some of these to unstocked items?  Is it a tedious process?  Can we do groups of items at 1 time?

Our IT department is currently the only group that does this and it is slowing down our efficiency.

    Hi,

If you used the items and recorded transactions already for the last three years in AX - even though without any valuation usage - I would not simply try to switch those items and try to change their

stocked/unstocked type or nature but rather create new ones.

What confuses me still is the fact that - on the one hand side - you want to change your items to non stocked ones and - on the other hand side - use MRP.  Is that right?

I would suggest that you have some internal discussions first with your MRP/production colleagues before making any change to the current setup. To me the overall strategy of this item change does not feel being consistent and suitable to what you try doing.

    Best regards,

    Ludwig

Our inventory is physically consumed during production.  This is tracked manually now using excel spreadsheets where we also track value.  We use manual cycle counts and kanban systems to replenish inventory. We only use AX to create and receive purchase orders.  None of the inventory is ever relieved, so it has just been accumulating since we started purchasing in the system (3 years ago, maybe).  Our plan is to clean out and upload our info from a current inventory and begin using the MRP portion of AX.

    Hi,

For what purpose do you use inventory and where and how do you track values?

    Can you elaborate on that?

    Many thanks and best regards,

    Ludwig

    Ok. Just one more variable...

We are currently not using the system to manage or value inventory.  This is still done through a manual process.  Does this affect the answer at all?

    Hello Sheila,

If transactions have been posted I would personally go for the 'more painful' way of creating new items even though the converting tool that Andre mentioned might do the job. yet, the concern that I have is that in case something is done incorrectly with the conversion or goes wrong, your inventory and valuations might get bust. fixing an incorrect inventory later on will cost you more time and effort than setting up new items correctly from scratch.

    that's my view on this.

    Hello Ludwig,

Yes, there have been transactions.  We are actively using the purchasing module, but we do not relieve inventory.  We are in preparation for using the production side of the system for one of our divisions.

    RE: Stocked to Unstocked

Just want to provide some clarity:

When the item Master was set up, there was a decision to make all items stocked items and every item was added to the BOM--this includes small screws and packaging.  Now that we are more clear regarding how we want our business processes to flow, we would like to have "consumables," we are trying to figure out the repercussions of and process for removing those items that can be categorized as "C" items from the BOM and handling them as non-stocked items.  Any input would be appreciated.

    Hi sdtownsend68,

Personally, I would not convert existing items that have already been used in transactions.

You can find in the other replies mentioned that this is not necessary but as 'accountant' I am super careful when it comes to master data and everything that is related to inventory valuation and would always be on the save side by creating new items :-)

    Best regards,

    Ludwig

    Hi sdtownsend68

I'm not sure why you need change from stock to un-stock. Here is the docs which increase or decrease the stock in inventory.

    docs.microsoft.com/.../physical-financial-updates

Please consider the business process and take the action properly those will decrease the stock(ex. sales order invoiced)
