Charging a Convenience Fee and viewing the entered cost in various reports

Our Customer wants to charge a 3% Convenience Fee, to recover the amounts they incur when accepting Credit Card Payments from their Customers.

They setup a Services type Item and, when adding the Item to an SOP Invoice, enter the Price and Cost as the same amount.

When the transaction is posted, they can see the Price and Cost, exactly as entered in the SOP Transaction when viewing the transaction details in, Sales Line Items SmartList and the Sales Document Analysis Report by Item.

If they generate an SOP Sales Transaction Detail History Report, the cost is displayed as $ 0.00.

Should they be using a different Item Type than Services in order to get the desired treatment?

    Hi Michael,

The SOP Sales Transaction Detail History report should show an the appropriate price value in the Ext Price column, a zero value in the Ext Cost column, the value in the Profit column should match the value in the Ext Price column and the Margin should be 100%.  The reason being that although they have a current cost defined, the cost does not post to the GL. This means that the cost should not be included in the margin Calculation as well.

This is normal for this report for service items.

If you want to track actual costing and update Inventory and cogs you would have to use a Sales Inventory item type, but that tracks quantities.

If you are just charging a fee, you could use Misc fee too, but it will show up on that report the same way.  Its' a similar item type as Service.  It's allowed through SOP/IVC and no quantities, no costs or IV adjustments are allowed. It's just that, a fee.

Hope this helps explain what you are seeing.  It's as designed for that specific report.

Thanks for using Microsoft Dynamics Communities,

We are looking for that 'sweet spot' where we find a way to capture both the Price and Cost of the convenience fee, so that both are posted, resulting in a margin calculated as -0-. Can anyone suggest an approach that will achieve all of that?

In essence, they are trying to record a recovery of the fee they are charged by the Credit card issuer.

When the Sales Order is created, the operator was able to enter the Price and Cost with no warning or error. After Posting, both the price and cost are displayed in the Sales Lines Smartlist, and several other reports. Only the Sales History Report fails to display the values that were entered. I am double checking to verify that the Cost did post to the GL.

Hi Mike  - I'll leave your question out here for others in the community to chime in to see if they come up with another idea.

    Mike,

If the customer is achieving what they want through the entry on SOP, then you have you looked at the underlying data supporting the SOP Sales Transaction Detail History Report to determine if you need to substitute a different field?

Once you identify the underlying fields and whether you can change them or not, please share back.

I don't believe a journal entry will be created if the item is DR and CR the Same GL account for a net amount of Zero.   Is that a requirement?

The Customer is mapping the Convenience Fee to the account they DRd when the fee was paid to the CC Issuer. On the SOP Distributions, they woukld credit the Sales Account for the sales items, then CRthe Expense account for the convenience fee recovery, so netting to -0- is not the issue. In Smartlist SOP Lines the values all display correctly, as well as in the Sales Document Analysis Report. It is only in the SOP Sales Transaction History Report that the Cost amount for the Service Item Type is not displayed.
