D365 License Consumption Report Export Options

Hi Team,

I would like to check if there is a way to download or export an Excel/CSV file for a specific subset of the D365 license consumption listing.

At the moment, I can download the full listing, however I would like the ability to export only specific categories such as:

• Over licensed users
• Under licensed users
• Other filtered license consumption groups

Alternatively, if only the full listing can be downloaded, would it be possible for the export to include an additional column that identifies the license status/category so the data can be easily filtered in Excel?

Appreciate your guidance or suggestions. Thanks.

    I havent seen an option to export the data according to the category, i.e. tile on PPAC. Personally, I havent seen a real benefit of it.
     
    If I export the detailed report I can see the following in the csv\excel
    2&3: You have columns like assigned and required license - so this is covered
    4: When you are done with 3, you will understand which users (company role), needs which licenses in F&O. So this should be then indirectly covered.
     
    I dont see any insights of knowing 1 and 5, but if you can provide your thoughts behind, maybe I am missing something.

    There is only an option to download the current CSV option where you will have a report on the license requirement per user.
     
    The tiles are calculated with static data and is refreshed every 4-12 hours. When you open details for a tile, you can see the assigned licenses. Drilling down will give you a view that is created with actual data and for that reason can also have a mismatch with the reported numbers.
     
    What do you want to do with details in Excel with information that is visible on the PPAC report?

    When only a small number of users are flagged for license issues, admins can reasonably review one user at a time.
     
    However, for organizations having to handle large numbers of user licenses issues, the benefit of having the ability to export the data by category, for example Over Licensed vs Under Licensed users (i.e. tiles from the LCS or PPAC license consumption screen), is that it would make the process far more manageable and efficient. 
    •  
    • For example, resolving over license issues first could potentially free up available licenses that may then be reassigned to resolve under license issues. This would also help organizations better assess their actual license availability and determine more accurately whether additional licenses truly need to be procured.
    • Additionally, it would be very helpful if the exported data included more detailed information in the Assigned License column, specifically identifying whether the assigned license is a Base license or an Attach license.This added level of detail would significantly aid analysis, particularly in better understanding how to address over licensed or under licensed issues.

    Hi,

    This is valid feedback. The license enforcement cares about a license only, not which one has been provided (base versus attach. 
    For the over-licensed users, I can follow your thoughts. I think you need to add details from M365 admin center via MS Graph. You can access that information using an API. You can then combine information by exporting PPAC to CSV and license details from your assigned licenses and build a custom report and action list. 
     
    You can also think of automation to assign and revoke licenses. I created an example which can also be helpful how to read data via MS Graph for your report. Introducing Dynamics 365 F&O License Automation - Dynamicspedia

    Let me share how I would approach this issue, maybe you can apply it to your case.
     
    Create a pivot out of the License detailed report
     
    1. Here are the details of the report - instead of "Required License" you probably want to choose "Assigned License"
    2. Filter by the license you want to see. F.e., I excluded TeamMember, NotApplicable or None licenses. In your case I would filter for only base license like Finance, Project Operations, SCM, but no attach
    3. Sort by ascending 
    4. Every user\line that has more than 1 assigned license is overlicensed in my opinion, since you dont need Finance and SCM together, either Fin or SCM base is enough and the other can be an attach license
     

     

    Its not perfect and you probably need some tweaks for your case, but could be helpful, since you need to update the detailed report data in excel and refresh the pivot.

    I hope I dont get any hate for using excel.... :)

    Thank you @Adis and @André Arnaud de Calavon for the valuable feedback. I have already implemented a workaround that includes some of the suggestions both of you mentioned.

    I mainly wanted to share the idea here in case Microsoft may consider enhancing the license consumption export feature itself. This would help reduce the need for administrators to rely on pivot tables, VLOOKUPs, and merging PPAC reports with exported CSV license detail files in order to properly analyze and assess licensing issues.

    Thanks for your reply. I have a two meetings with the team responsible for the licensing reporting soon. I will share your suggestion with them. Microsoft themselves are hardly monitoring this forum.
