PII Compliance of Customer Contact Data

After migrating my customer data to the customer file, I have been doing a lot of bulk editing via the Edit in Excel feature.  This is very nice for this kind of thing.  This did bring up a question though.  I now have all of our customers and their personal contact information stored in excel files in my download directory numerous times.  This is a major issue with PCI and HIPAA compliance audits and generally not a good thing to do.  Is there a way to address this so the files are automatically cleaned up or not created at all?

Hoping to head off an audit issue for our customers.

    Hello,

There is no way to do this within the scope of the Financials product.  Once you decide to pull the data down to your machine for editing you are responsible for it.  You would have to pursue this from the perspective of setting up a way to automatically purge the information from your machine.  This could be accomplished through a scheduled powershell task maybe or customization or 3rd party.

    Thanks,

    Chris

Is it possible to disable the ability to use the "Edit in Excel" feature within the product?  It would be a shame to have to do this, but I dont think we could sell a product to a customer that we knowingly would be opening them up to PCI and HIPAA violations.

Would Microsoft consider changing the functionality so that it would open the data in Excel directly and then clean up and files after it is completed?  This seems like it should be a requirement of any software package developed today.  Can  this be put on the development road map?

    Hello,

There isn't currently any easy way for you to just disable this for everyone.  You can block port 7048 on the firewall and it will prevent the feature from working.

You can suggest this as a feature for the Product Team here - ideas.dynamics.com/.../dynamics-financials

    Thanks,

    Chris
