Map Fields (Files) in a form to a defined folder structure in SharePoint

Posted on by Microsoft Employee

Hello All,

I have a requirement, where I am asked to have a form that has sections to upload various types of files. For e.g

Consultant Entity will have fields to upload files of different types

-- Contract-Signed.pdf (Maps to folder in SP : Site/Consultant/JohnDoe/Agreements

-- Devices-checked-out-from-company.pdf (Maps to /Consultant/JohnDoe/DevicesinUse)

-- Work-Permit.pdf (Maps to /Consultant/JohnDoe/Permits

Each of these uploads can have security roles tied to it. For e.g. Work Permits are to be accessed by the legal team only.

Is there anything in Dynamics CRM that provides this feature OOB.

    Yes

Consultant Entity form will have Agreement, DeviceinUse and Permits (Entities) subgrids.

Each record in these entities will have a folder in SharePoint. So, you can store single or multiple documents within this folder.

Ok.. Does that mean , I have to use multiple document associated grids in the form for each document type that I upload ?

    Hi

The current OOB feature is, that the user can upload files, related to a record in CRM.

By default, a single folder location would be created for each record (if Entity is enabled for Document Management), when we first upload a file.

I believe that there is no change in Dynamics 365.

So, OOB, we cannot create different fields within the form to upload to different location.

    The OOB solution could be:

Different entities for each of the type and setting privileges for these entities, as well as similar restrictions within SharePoint.
