My customer is on 18.4.1461 - When they log into GP and need to email invoices or EFT's they get prompted one time with the Modern Authentication window to log into email, which is expected. They do not get prompted again when sending invoices or EFT's. If they do not log out and they have to submit a workflow batch for Approval, they do get prompted again with the Modern Authentication window to log into email. Finally, without ever logging out of GP, they go to run a trial Balance, or another report, and they select Email Options they get prompted with the Modern Authentication window to log in. My question is, is this normal behavior for the version they are on or should only be getting prompted one time since they have never logged out of GP for all 3 different cases.
Is it just the users approving the workflow batches that see this issue, or do all users get prompted for credentials each time they attempt to email, or every couple of minutes?
Is there only one install of GP that all users are using, or is there multiple installs and if multiple, is this issue seen on all of the installs and to all users?
If a terminal/RDS server environment, do the users go through anything extra, such as Citrix, RemoteApp, have GP as a published app, etc., or do they just use Remote Desktop Connection, if not logging onto the server physically?
What third party products/customizations are installed with Dynamics GP?
Other than the bug I mentioned, where the token would expire every hour or so, I can't say we've seen this same type of issue you're seeing, where users are prompted for credentials each and every time they attempt to email and/or approve workflows.

yeah, that isn't normal. Does it do that on all machines that have GP installed and for all users?
What GP version are they running?
That would actually make sense - when I streamed in I had the user log into GP and we went to email settings and log in, then we submitted a batch and it asked her to log in again then I had her run a trial balance and when she selected email options it asked to log in again, this was all in about 5 minutes - would it be normal to have 3 separate modern authentication screens to pop up for those 3 things
When these users are logged in, are they logged in for several hours?
I ask as we did have a documented issue fixed in the Fall 2021 release of GP, where we saw the token that the Modern authentication functionality was using, expiring about every hour or so.
So, when it expired, then users would be prompted for their Exchange credentials again, and not one time as you mentioned, which is how it should be, including Workflows as those are using Modern Auth to email out of also.
