You cannot use item tracking on a Sales Line created from a Project.

Posted on by 2
We are encountering an error in Business Central stating: "You cannot use item tracking on a Sales Line created from a Project". This occurs when attempting to apply item tracking (such as serial or lot numbers) to sales lines that are linked to a project.

I look forward to your guidance on how to resolve this issue.

You cannot use item tracking on a Sales Line created from a Project.
The consumption of the Item happens when the Project Journal is posted.  The Sales Invoice (even though an Item is listed on the line) is only a financial transaction, because it is linked to the Project Consumption, and does not consume Inventory.

Why you can't see the Item Tracking on the Sales Invoice or the Posted Shipment and Invoice is unknown and a question for Microsoft.  You can still get to the Item Tracking Information by comparing the "Job Contract Entry No." from the Sales Line to the related Project Planning Line's "Job Contract Entry No.".

The takeaway is that it is all working as intended by Microsoft, and it does maintain all the proper connections and data.  A customization will make the data easier to see, and there is no need to change the process.

    Hello all,
I just want to confirm all you checked.
I came to the same conclusion that it is not possible to add item tracking to the Sales Invoice that is created from the Project.
It is standard functionality and I agree that it is the question for the MS.

Also, I noticed that, if we add item tracking to the line in the Project planning line, and then create a Sales Invoice for that line, our reservation entry will be created. Tracking that we used on the Item on the Project planning line will be reserved, which reduces the possibility of inventory inconsistency and the same tracking you can't use on the other item tracking assignment.

I suspect that there might not be an actual consumption of quantities when we do some steps on the project to which these trackings are related, but so far I have not been able to get such a result.

Waiting for what others have to say about this thread. Greetings

Thank you for your detailed explanation, Ben.
When I assigned the Item Tracking Info to the Budget (or "Both Budget and Billable") Project Planning Line, then transferred it to the Project Journal and posted it, the Item Ledger Entries were created as expected. However, I’m encountering an issue when trying to see the proper consumption of the tracked inventory. Specifically, when I create a sales invoice from the project planning item, and navigate to Line -> Related Information -> Item Tracking Lines, I’m unable to view the item tracking lines, and instead, I receive the error message: "You cannot use item tracking on a Sales Line created from a Project."
Is there any workaround to ensure the item tracking lines are visible on the sales invoice, or is this restriction imposed by Microsoft and not supported?

    Thanks again for your assistance.

    Best regards,

You cannot use item tracking on a Sales Line created from a Project.
If you assigned the Item Tracking Info to the Budget (or "Both Budget and Billable") Project Planning Line, then Transferred to the Project Journal, then Posted the Project Journal, all the Item Ledger Entries are created at that point.  You should see the proper consumption of your Item Tracked Inventory at that point.

When you use the Billable Project Planning Line during the "Create Sales Invoice" process it will transfer the Item Tracking Info to the Sales Line, but you can't open the Item Tracking on the Sales Invoice, nor on the Posted Shipment or Invoice.  I don't know why this is, that is a question for Microsoft.  I think it is because it is not creating the Item Ledger Entry at that point, since that would double consume the Item.  The good news is the system properly tracks the Item Tracking Info through to the Job Ledger Entries.

If you need the Item Tracking Info on the printed sales paperwork, you will have to add logic to pull the Item Tracking from the related Project Planning Line.  Use the "Job Contract Entry No." to identify the correct Planning Line referenced on the Sales Line.

Hope this helps clear it up.

You cannot use item tracking on a Sales Line created from a Project.
I did the following: I made a mistake in the Project planning line by choosing the Type "Budget" and then I filled the Lot from the Item Tracking No and then I created a Project Journal as you told me and I tried to make the Type "Billable" but this Error appeared: Line Type cannot be changed when Project Planning Line No. is set. So I made the Type in the Project planning line "Both Budget & Billable" and I created the Project Journal and then I moved it and created a Sales Invoice but the same thing happened the same Error appeared when I tried to click on the Item Tracking No in the Sales Invoice "You cannot use item tracking on a Sales Line created from a Project." So what is the solution? How can I access the Item Tracking No information in the Sales Invoice????

You cannot use item tracking on a Sales Line created from a Project.
When billing for an Item Tracked Item, I would encourage you set the Project Planning Line as "Budget", then at time of consuming the Item via the Project Journal, set the Project Journal Line Type as "Billable".  The Billable Line Type in the Project Journal will create both a Project Ledger Entry (cost) and Billable Project Planning Line (for invoicing).

This way you can record the Item Tracking Information to the Item during the consumption in the Project Journal, which should also flow to the Billable Project Journal line created by the "Billable" Line Type posting.  Then when you "Create Sales Invoice" for the Billable Project Planning Line the Item Tracking would flow to the Sales Invoice Line.

Please test this process in your Sandbox environment to verify it meets your needs.

P.S. You could also use a Project Planning Line of "Both Budget and Billable", but we don't recommend this most of the time.
